Executive/Personal Assistant for Entertainment Talent/Entrepreneur
Encino, CA
General Hours: Monday through Friday, 9 am - 6 pm, with flexibility as needed for travel, press, or filming. The role involves working part-remote and part from a home office in Encino, with potentially fluid hours in the evenings or an occasional Saturday. The salary ranges from $80,000 to $90,000 depending on experience, plus a stipend towards benefits. With a proven track record, there is ample opportunity for growth within this position.
We are seeking a super kind, dynamic individual with experience in entertainment and entrepreneurship, particularly in fashion. The ideal candidate will be fashionable, calm, possess ''grace under pressure,'' and constantly seek ways to enhance the principal's life. This includes creating new organizing strategies, developing filing systems, and generally making their busy life less chaotic. They must be team-oriented, a true self-starter, and family-friendly, with a proactive mindset. The role requires a highly organized and resourceful professional who can work flexible hours, including evenings and weekends. The ideal candidate should have a four-year college degree and at least five years of experience as a personal/executive assistant or in a relevant role. They must maintain the highest levels of professionalism, handle a wide range of responsibilities, and exhibit the following essential characteristics:
Successfully manage a fast-paced environment and keep up with the demands of a principal involved in various businesses, family matters, and shooting schedules.
Highly organized, capable of multitasking while prioritizing critical tasks.
Anticipate issues and plan contingencies accordingly.
Hardworking, efficient, extremely detail-oriented, and accurate.
Strong computer skills, including Microsoft Word/Outlook and social/digital media; ability to assist with content creation is a bonus.
Superior oral and written communication skills.
Strong problem-solving abilities.
Exercise good judgment in decision-making.
Self-motivated with a positive ''can-do'' attitude.
Know when and how to assert oneself appropriately to accomplish tasks.
Prompt in responding to requests and dependable in follow-through.
Ability to handle sensitive, confidential information.
Versatile professional with high integrity, able to maintain composure in stressful situations without being opportunistic.
May involve travel.
Always kind, respectful, and dedicated to making the principal look their best.
Key Responsibilities:
Calendar management, including anticipating risks and planning contingencies.
Liaise with travel planners for flights, hotels, and transportation.
Coordinate with nannies, housekeepers, house manager, and spouse's assistant to ensure seamless daily operations.
Assist in organizing events and managing reservations, appointments, errands, and stocking.
Handle clerical duties such as answering phones, updating contacts, and creating manuals.
Manage gift procurement.
Keep the principal on schedule and task.
Maintain a day-to-day ''To Do'' list and provide daily updates on completed tasks and outstanding items.
Proactively anticipate the principal's needs and initiate helpful projects without being asked.
