Associate Office Manager, Bilingual (English/Spanish)

How you'll CREATE:
Building and Facilities:
• Manage maintenance and repairs liaising with building engineer and external vendors.
• Facilitate projects and problem resolution with facilities management and suppliers.
• Manage key cards for access to the building, office and parking premises.
• Supervise compliance officer in his functions, related to entry and safety measures in place.
• Oversee the appropriate maintenance of common areas.
• Responsible for the appropriate handling of mail, UPS and FedEx, and messenger management
• Administer calendar for meeting rooms.
• Arrangement and coordination of meetings and special events, as required.
• Manage supplies procurement, consumables, office equipment and vendor services.
• Greeting and providing general support to visitors/guests.
• Assist with onboarding/offboarding of employees.
• Assist with internship program, onboarding and offboarding.
Administration:
• Responsible for payment process of all overhead invoices.
• Responsible for overhead budgets input in the system.
• Manage vendor verification and registration processes.
• Point of contact for suppliers, providing guidance to vendors for navigation and payment process, through UMG's payment portal.
• Making business travel arrangements, as required.
• Prepare expense reports, as required.
• Finance Department Support:
• Process rebills.
• Assist with intercompany balances.
• Assist with reconciliations, accruals, journal entries, and other projects as required.
• Other responsibilities as assigned.

• 3-5 years experience office management or administration.
• Experience in MS Office Suite.
• Bachelor's degree preferred.
