Coordinator, Advancement Operations (TEMP)
PRINCIPAL RESPONSIBILITIES:
The Coordinator, Advancement Operations is responsible for a broad range of multi-tasking across all core administrative functions. The Coordinator, Advancement Operations will support the needs of the Advancement team to provide excellent administrative support both internally and externally and assist with fundraising activities. The Coordinator, under the guidance of the Manager, Advancement Operations is also responsible for updating and maintaining the Advancement database and records, including accurate and timely input of data, generation of reports for distribution and submission of payments to the AFI Finance department.
PRINCIPAL DUTIES:
• Accurately process gifts and pledges in a timely manner, including checks, cash, credit cards, and more.
• Contact donors regarding issues, such as declined credit cards.
• Maintain and update the integrity of the database and the accuracy of the information.
• Prepare and submit daily deposit to the Finance department.
• Collaborate with the Finance team to ensure the accuracy of the deposit reports.
• Generate and distribute daily and weekly reports.
• Assist the Manager, Advancement Operations in fulfilling the data needs of the department.
• Ensures all donor data is captured in Tessitura and shared files are impeccably organized and maintained.
• Assist with the operations of various fundraising campaigns from revenue sources including foundations, individuals, major donors, and corporations.
• Coordinate tax receipts, invoices and other required documentation for donations.
• Conduct donor research, track giving history, and pull donor data reports.
• Organize standard operational procedures and policies.
• Support day-to-day scheduling, note-taking, and planning needs of the Advancement team.
• Assist with invitation production and mailings, collection of online and email RSVPs, event coordination and support at events.
• All other duties as assigned.
EXPERIENCE/SKILLS REQUIRED:
• Bachelor's degree preferred.
• Minimum two years data entry and administrative experience.
• Superior database management and computer skills, with expertise in Microsoft Word and Excel. Proficiency with Tessitura strongly preferred.
• Excellent oral and written communication skills with the ability to convey complex concepts and procedures in simplistic terms.
• Exceptional time management, organizational and multi-tasking skills coupled with the ability to work independently with minimal supervision, as well as a member of a high functioning team, in a fast-paced environment.
• Proven project management skills with the ability to take a project from conception through completion with minimal supervision.
• Strong diplomacy skills and professionalism are mandatory; this includes the ability to maintain complete confidentiality and discretion.
• Possess a positive and professional attitude with the ability to work as a member of a high-energy results-oriented team.
• Ability to work calmly under pressure.
• Personal integrity and the ability to inspire confidence and trust.
