This will be a hybrid position of remote & in-office work based out of the Studio City, CA office. American Humane is committed to fostering diversity, equity, & inclusion in the workplace. *Position summary:
Performs a wide variety of duties in support of the delivery of animal monitoring services to the film & television production community through ''No Animals Were Harmed®''. Primary responsibilities include:
-Working collaboratively as part of a scheduling team to facilitate Certified Animal Safety Representative™(CASR) assignments.
-Providing excellent & timely communication with production regarding scheduling, animal action & assignments & CASRs.
-Scheduling Certified Animals Safety Representatives™(CASRs) in the field.
-Fielding calls from CASRs regarding on set safety issues & notifying Chief Veterinary Advisor & National Director regarding concerns.
-Initiating outreach to production to confirm schedule & clarify animal action.
-Reading scripts, one-liners, schedules to identify animal action days & intensity.
-Managing production & scheduling database to ensure information is correct.
-Arranging travel for CASR out-of-town assignments when Travel Coordinator is unavailable.
-Coordinating contracts, NDAs for international & non-union productions.
-Various administrative responsibilities, including cross-training for other program positions including pre-production, on-boarding new employees & special projects.
This a fast-paced position that requires excellent organizational skills, attention to detail, prioritizing & time-management skills, inter-personal skills, the ability to work independently & problem-solve, as well as discretion in handling confidential information.
Responsibilities:
*Scheduling:
*Analyzing scripts, one-liners & schedules & correlating the information to determine animal action days & intensity.
* Entering information into database.
*Evaluating animal intensity, rep expertise & location to make scheduling decisions & prioritize animal action coverage.
*Assigning CASR to productions & creating the daily schedule.
*Monitoring the Film & TV Unit general email box for production documents & call sheets to access & facilitate proper
assignments. Emails range from 200-300 or more per day.
*Liaison with CASRs & Production:
*Communicating daily with CASRs regarding activity on all assignments:
*Identifying situations that require additional attention & communicating promptly with the Sr. CASRs & /or Chief Veterinary
Officer on animal welfare & safety issues on set.
*Initiating outreach to production to clarify animal action. Forward projects requiring additional follow-up to Sr. CASR Advisor.
*Fielding animal-related calls from production, i.e., prop department, producers, coordinators, trainers regarding animal welfare and
safety & clarifying our AH guidelines.
*Script Assignments/Script Reading:
*Distributing priority scripts to be read & importing them into the database.
*Reading scripts as needed.
*Database: Continually updating the film database based on conversations with production & CASRs.
*Administrative & Special Assignments
*Assist with administrative duties, including scheduling meetings, proofreading & editing documents, updating & distributing
contact list, coordinating travel, & with trainings.
*Cross-train to provide back up for the Pre-Production Coordinator when they are out of the office.
*Participate in American Humane related activities, events, & meetings.
*Essential experience, knowledge, skills & abilities:
*Interest in animals & their protection & wellbeing.
*Bachelor's degree preferred.
*Knowledge of film production processes & understanding of the entertainment industry preferred.
*Strong organizational skills, including the ability to set priorities, juggle multiple tasks, organize time effectively.
*Meticulous attention to detail.
*Skilled at coordinating complex travel arrangements.
*Outstanding interpersonal skills, including the ability to work both in groups & individually to meet goals & to develop strong
working relationships with internal staff & external constituents.
*High degree of motivation & self-discipline with a strong work ethic. Maintains a conscientious approach to work with the ability
to meet tight deadlines, anticipate needs & be proactive in order to resolve issues.
*Excellent verbal & written communication skills, including proof reading & editing.
*Demonstrates sound judgment & discretion in handling confidential information.
*Commitment to providing high quality service through responsiveness to all requests & maintaining a professional demeanor
always.
*Knowledge of & demonstrated proficiency in the use of software (FileMaker Pro, Windows, Microsoft Word, Excel, PowerPoint
& Outlook) while also quickly learning systems & processes specific to the department.
