What We Are Looking For
As an Executive Assistant to two SVP's, you will provide essential administrative support and foster seamless operations across various departments. You will serve as a key point of contact to streamline communication and stakeholder collaboration. This position requires proactive organizational skills, efficient task management, and discretion in managing confidential information. Through process optimization, schedule coordination, and project assistance, the Executive Assistant contributes significantly to the operational efficiency of Artists Equity.
• Efficiently maintain and manage both executive's calendars, orchestrating meetings and appointments seamlessly.
• Craft and refine correspondence, reports, and presentations to uphold professional standards.
• Prioritize and organize incoming emails, calls, and communications to streamline both executive's workflows.
• Ensure prompt follow-through on internal commitments, communications, and project deadlines to maintain operational excellence.
• Skillfully manage expenses and reconcile credit card statements to maintain financial transparency.
• Collaborate in preparing for and internal/external client meetings by crafting agendas, assembling pertinent materials, and ensuring the conference rooms and logistics are properly arranged.
• Facilitate travel arrangements, encompassing flights, accommodations, and ground transportation, with meticulous attention to detail.
• Coordinate special projects as necessary, demonstrating flexibility and adaptability.
• Act as a liaison between the executive team and other departments, fostering effective cross-functional communication.
• Uphold confidentiality and exercise discretion and sound judgment in all interactions.
• Perform other duties as assigned by the Executives.
Essential Skills
• Minimum of 3 years of experience supporting studio or production company executives and/or producers, showcasing a track record of excellence.
• Demonstrated interest in physical production.
• Exhibit exceptional organizational, communication, and interpersonal skills to navigate diverse responsibilities.
• Demonstrate keen attention to detail and adeptness at prioritizing tasks in a dynamic environment.
• Proficient in utilizing Microsoft and Google suite applications to enhance operational efficiency.
• Display a proven ability to maintain confidentiality and exercise discretion in sensitive matters.
• Must be able to interact and communicate with individuals at all levels of the organization.
• Excellent oral and written communication skills
• Friendly and professional demeanor.
Preferred Skills
• Budgeting and scheduling experience or strong desire to learn.
