Operations Assistant - Ascend Amphitheater
This role is responsible for, but not limited to the following:
• Execute all venue payroll and work with department managers to confirm payroll accuracy
• Act as point of contact for all venue payroll issues and inquires
• Maintain logs of time sheets for entire season
• Troubleshoot and assist with employee payroll issues
• Communicate directly with corporate payroll as issues arise
• Verify employee time sheets
• Pull labor reports and submit to Operations Manager and GM following every event
• Assist Operations Manager with projects and tasks regarding the venue, staff, overall operation, etc.
• Oversee that all departments are scheduled into TMSS with correct codes and information
• Follow up with applicants, schedule, and conduct interviews when department heads need assistance
• Submit all venue invoices and ensure proper coding
• Ensure invoices are tracked internally to align with budgets
• Create and implement employee training documents and standards
• Submit background checks on employees as required for hiring
• Oversee budgets of departments and provide guidance when needed
• Compose all day of show sheets for Ascend events
• Compose all show day specific information sheets for Ascend Events (FOH Advance)
• Compose credential sheets for Ascend events
• Create Bi-Weekly Office Schedule
• Work with tours to execute tour VIP programs
• Fill out incident reports on site
• Order all office supplies and wristbands
• Assist different departments as needed on Show Days and Load In/Load Out Days
• Oversee all auxiliary show needs-VIP, Volunteer, Activations, etc.
• Take responsibility for security and safety for specific zones of venue pre-show by doing ''Zone Sweeps''
• Communicate with Payroll Corporate, HR, IT, etc. as needed
• Weekly Meetings with Operations Manager
• Additional tasks as requested by venue management
Qualifications:
• High School Diploma or equivalent
• Strong strategic thinking and creative problem-solving skills
• Excellent verbal, written and interpersonal communication skills
• Acute sense of judgment, tact and diplomacy
• A strong-sense of teamwork and ability to execute programs
• Excellent verbal and written communication skills
• Position requires constant walking, climbing stairs, lifting and carrying 50 lbs.+
