This year marks our 18th year in the league, and 2025 is our fourth year with new ownership, new leadership, and a commitment to building the best franchise in the WNBA. Position Purpose
Provides executive level administrative support to President & COO. Responsible for managing calendars, planning, email coordination, meeting and event planning, assisting with internal communications and newsletters, scheduling travel, processing expense reports, maintaining office supplies, scheduling work orders, assisting with key in-market activations, community impact events and home games, as necessary. Works with minimal direction, anticipating needs and being proactive. Acts as an effective gatekeeper with incoming calls and emails. Is called upon regularly to produce both oral and written communications that express the President & COO's intent. This unique role will touch all facets and functions of the organization to be an effective entry point and to redirect inquiries. We are looking for a passionate, positive, hands-on, hard-working professional who is hungry to be a part of a growing sports organization.
Essential Duties and Responsibilities
• Proactively manage the President & COO's calendar including scheduling appointments with internal and external parties, managing travel schedules and itineraries, responding as needed to requests, creating meeting agendas, note taking, accepting/declining requests, disseminating information, and organizing materials.
-Assist President and Leadership Team in coordinating employee / internal communication.
-Collect / compile information and put in presentable form. Where project requires information from sources outside of immediate function, direct and delegate work to appropriate areas.
-Handle confidential material with the highest level of discretion and care.
-Produce high quality communications clearly and accurately using Microsoft platforms, PowerPoint, Canva, etc.
-Take on special projects and drive them to completion based on duties assigned which may include. but not limited to planning internal employee offsites / events, assisting with community and in-market activations, and working home games as needed.
-Organize and prioritize large volumes of information and calls. Use discretion and judgment to determine appropriateness of request.
-Professionally respond to routine correspondence and/or draft response for management review.
-Convey a sense of urgency when appropriate. Respond promptly to telephone calls and emails.
-Maintain friendly, culture-building and hospitality mindset as first point of contact in office for staff, partners, fans, vendors, etc.
-Make timely and effective decisions; be proactive; identify and work to eliminate obstacles; recognize and address issues early.
-Process invoices and expenses ensuring compliance with company policy.
-Maintain an adequate inventory of office supplies and coordinate office upkeep.
-Maintain and manage cloud-based and physical filing system as needed.
Required Education
, Experience, Traits and Skills
-College degree preferred
-5-7 years of experience providing senior level administrative support
-Exceptional demonstrated ability to organize work, multi-task, and prioritize effectively in a fast pace environment
-Friendly, culture-builder, polished, courteous, service-oriented, professional, focused on best-in-class customer service, and able to communicate at all levels of the organization
-Detail oriented with a strong drive, desire to be successful and focused on our mission to create the best franchise in the WNBA and to empower women and girls through sport
-Excellent time management skills with a proven ability to meet deadlines, superior follow through in full completion of tasks
-Flexibility, resourcefulness, and adaptability within the work day and with work hours, as work demands dictate
-Superior written communication skills that convey the President and COO's intent with high quality
-Independent judgment, anticipating needs, being proactive, and high initiative.
-Must be highly proficient in MS Office.
-Able to work a flexible schedule that sometimes can include longer hours, weekends, and holidays.
-Able to lift 10lbs – 20lbs.
