About the Role:
The BALA Firm is seeking an Executive Assistant to support the firm's founding partners. This is a dynamic role for a highly organized, proactive, and discreet individual who thrives in a fast-paced environment and has a knack for anticipating needs before they arise. You'll be the right hand to three high-performing executives-balancing their legal practices with other professional and personal commitments. From managing complex calendars and coordinating travel to planning events and handling confidential communications, you'll serve as a key partner in ensuring everything runs smoothly.
Key Responsibilities:
Executive Support:
• Manage complex, ever-changing calendars across time zones and priorities
• Schedule and coordinate meetings, calls, and travel for each partner
• Interact with clients and industry professionals with warmth, professionalism and discretion
• Track tasks, deadlines, and follow-ups across across a variety of legal, business, and personal matters
• File and organize documents, circulate agreements for signature, and maintain orderly digital and physical filing systems
• Prepare agendas, organize meeting materials and ensure all logistics and materials are in place
• Manage high-volume communications with clarity, discretion, and keen attention to detail
• Plan and coordinate company events, including internal gatherings, client receptions, and off-site functions
Personal Support:
- Coordinate personal travel, appointments, and scheduling, which may include family logistics and manage communications with household vendors and other personal service providers as needed
- Support partners' involvement in other business ventures and community commitments (e.g., PTA, school events, board work, etc.)
- Take initiative on recurring tasks and day-to-day logistics
- Anticipate needs and problem-solve independently
What We're Looking For:
- 5+ years experience supporting multiple senior-level executives or law firm partners
- Proven ability to manage competing priorities with grace and efficiency
- Impeccable attention to detail-no task too small, nothing overlooked
- High level of discretion and trustworthiness; experienced with confidential matters
- Excellent written and verbal communication skills
- Warm, polished, and composed in client-facing interactions
- Self-motivated, solutions-oriented, and resourceful-you get things done without needing to be micromanaged
- Technically proficient: Google Workspace, Airtable, Outlook, Slack, Box, and other modern project/task management tools
- LA-based and available to work remotely or in-person as needed
