The Role
In this role, you will assist the Project Managers, Directors and Executive throughout the entire project phase, including design, construction and completion of large-scale venue projects. You will be responsible for document control, communications and all administrative functions to support the project team. Interact with Owners/Clients, Architects/Engineers and Subcontractors and project stakeholders in a professional and tactful manner on a regular basis.
Responsibilities
• Maintain minutes of relevant project related meetings.
• Assist in tracking open RFIs, Non-Conformance Logs and submittals to ensure that the design team is providing the timely information needed to advance the work in the field.
• Assist with the management and procurement of owner-direct contracts and purchase orders. During procurement this includes assisting in the development, issuance, review, and recommendation process for any Request for Proposals / Request for Quotes issued on behalf of the owner for the procurement of Furniture, Fixtures, and Equipment or Owner-Direct consulting firms. During execution of these procurements this will consist of schedule coordination, management of scopes within budget, identification of any cost or scheduling issues, and all other activities required to deliver the service(s) or purchase orders to completion.
• Liaise with representatives from the Design Team to communicate owner-requested revisions to documents.
• Review drawing updates from the Architect of Record to ensure owner-requested modifications or other required adjustments are captured accurately and advise on potential cost impacts of updated drawings.
• Liaise with representatives from the Construction Manager both in the office and in the field, as required.
• Assist in ensuring that the Construction Manager is implementing and maintaining its site logistics/utilization plans. Interface as necessary with adjacent and affected stakeholders.
• Update and assist in maintaining CAA ICON project tracking logs.
• Review and log on-site inspection reports. Assist with assuring the highest standard of quality.
• Assist with the identification, monitoring, and tracking of open design or construction issues to ensure timely and effective resolution.
• Assist in compiling and assembling project deliverables.
• Assist in identifying/resolving obstacles to completing project on time and to budget
• Ensuring adherence of project documentation to internal and external quality standards
• Attend regularly scheduled project meetings.
• Assist in organizing the project file system.
• Assist with meeting scheduling.
• Assist in the review and preparation of each monthly pay application for processing.
Requirements
• 0-5+ years of experience in design and development, construction, or a related services industry.
• Bachelor's Degree Required (Construction, Engineering, Architecture, Real Estate or like industry).
• Exceptional communication and organizational skills.
• Self-starter with the ability to work independently.
• Ability to read, understand and interpret contract documents, drawings, specifications, scopes of work and project schedule.
• Multi-tasking and the ability to problem solve and master new concepts in a short period of time.
• Familiarity with the Microsoft suite of software (Word, Excel, Project, Teams, OneDrive, etc)
• Working knowledge of the principles, practices and terminology in the construction industry including scheduling and cost estimating is preferred.
• Detail-oriented, organized in thought, process and action, as well as creative, analytical and collaborative.
• Leadership experience and the ability to speak confidently and accurately in front of meetings with large audiences is preferred.
Preferred Skills
• Familiarity with BlueBeam and ProCore is an asset, but not required.
Location
This role is onsite in Calgary.
