The Role
Assistant sought for the Deputy General Counsel – Litigation and Employment. The Assistant should be detail oriented, be exceptionally organized, and be able to manage heavy calendar and phones for a busy legal executive. The candidate must be comfortable working with individuals in a variety of roles both within and outside of the agency; and be able to understand the collaborative workflow relationships for the Office of the Chief Legal Officer (OCLO) and the agency at large. This hybrid role requires onsite presence in our Los Angeles office Monday – Thursday.
Primary Responsibilities
• Maintain high-volume, dynamic and demanding calendar.
• Manage executive's schedule in order to create efficiency and balance in daily/weekly/monthly meetings;
• Demonstrate good judgment and flexibility in order to meet shifting priorities, while keeping in mind practical realities;
• Communicate with internal and external stakeholders' requests for time;
• Anticipate needs, problem-solve for challenges, and manage emerging issues in a proactive manner.
• Provide in office coordination for large meetings, lunches and team meetings.
• Maintain high-volume, dynamic and time-sensitive phone sheet.
• Complete monthly expense reports, in conformity with Company policy.
• Coordinate travel and logistics, from time to time
• Perform other administrative or organizational tasks
• Prepare daily ''to do'' lists and use systems or technology in order to facilitate organization of tasks
• Proactively follow up on assigned tasks
• Assist in organizing legal department meetings (e.g., helping to schedule guests, as needed)
• Interact with external service providers, as needed
• Assist with redlining documents, as needed
• Arrange for e-signatures on documents, as needed
• E-file legal documents, as needed
Qualifications
• 5+ years of relevant administrative assistant experience
• Expert in Microsoft Outlook, PowerPoint, Word, Excel, Adobe Pro and Internet
• Must possess strong organizational and communication skills
• Be able to effectively navigate ambiguity
• Must have exceptional attention to detail
• Must have the ability to meet deadlines and able to juggle multiple tasks simultaneously, working with a sense of urgency
• Strong follow-up and project management skills
• Able to work in a fast-paced, collaborative and team-oriented environment
• Must be resourceful and possess good judgment
• Ability to properly and discreetly handle sensitive and confidential information
Preferred
• BA/BS from an accredited 4-year University or College
• Prior experience in a client-service environment is a plus, but not required
• Familiarity with document databases is a plus, but not required
Location
This role will require 5 days on-site in our Los Angeles, CA office.
Compensation
The base hourly rate for this position is in the range of $34 - $40. This position also is eligible for benefits and discretionary bonus. Ultimately, the salary may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria.
