Job Title: Ballpark Operations Administrative Office Coordinator
Department: Ballpark Operations
Reports To: Senior Director of Ballpark Operations
FLSA: Full-Time, Hourly, Non-Exempt
Job Purpose: This position provides administrative support to the Ballpark Operations Administrative Office, specifically the Sr. Director of Ballpark Operations.
Essential Duties and Responsibilities:
• Assists with the coordination of departmental pre-season hiring, staff intake processing, and training
• Provide administrative support for the annual return process for seasonal staff
• Handling the Mail Room responsibilities during peak periods and when the Shipping & Receiving clerk is off
• Maintain departmental invoice logs
• Assist the Sr. Director of Ball Park Administration in preparation of the budget for Ballpark Operations
• Maintain inventory of departmental administrative supplies and reordering
• Maintain all documentation for departmental staff training requirements and certification logs.
• Assist with creating identification badges and credentials
• Provide administrative support to the Sr. Director of Ballpark Operations and Director of Guest & Event Operation
• Work with Reds Maintenance Department to prioritize, assign, and track all internal work orders. Following up with the initiators to provide timely updates of when the requested work will be completed.
• Assist in the staff scheduling in the ABI Workforce Management Program
• Support all of the operating goals and vision of Ballpark Operation Department and Cincinnati Reds/
Knowledge, Skills, and Abilities:
An understanding of organizational structure, goals, mission, and vision; Superior organizational skills and the ability to multi-task effectively. Assist with the coordination of a large cadre of part-time staff; Solid verbal and written communication skills; Basic understanding of legal terms and definitions; Experience with operations management; Good math skills; Basic computer skills specifically including Microsoft Office Suite; and the ability to work extended days and hours, including nights, weekends, and holidays on certain occasions.
Experience, Education and Licensure:
• Bachelor's degree in Business Administration, Management, or Sports Administration preferred
• Requires three years successful experience in administration environment, supporting management
Work Environment:
While performing the duties of this job, the employee can be exposed to weather conditions prevalent at the time.
