Job Summary:
We are seeking a highly organized and proactive Administrative and Marketing Assistant. This role is ideal for someone with a passion for marketing, strong research skills, and excellent administrative abilities. The successful candidate will assist with daily administrative tasks, conduct market research, manage company socials and provide insights that contribute to the development and execution of client marketing strategies.
Key Responsibilities:
Administrative Support:
Manage the Director of Marketing's calendar, including scheduling meetings, appointments, and travel arrangements.
Coordinate internal and external meetings, ensuring proper documentation and follow-ups.
Handle incoming communications (emails, phone calls), prioritize inquiries, and draft responses when necessary.
Prepare and edit correspondence, presentations, and reports as directed.
Maintain organized records of key marketing documents, contracts, and meeting notes.
Research and Data Collection:
Conduct market research to gather data on industry trends, competitor activities, and customer behaviors.
Compile research findings into reports and presentations to assist in decision-making processes.
Assist in the analysis of marketing campaign performance metrics and provide insights.
Stay updated on new marketing tools, techniques, and platforms, presenting innovative ideas to the marketing team.
Project Assistance:
Support in the coordination of marketing campaigns, events, and promotional activities.
Collaborate with team members to ensure deadlines are met and marketing initiatives run smoothly.
Assist in managing the marketing budget by tracking expenses and creating reports.
Other Duties:
Perform general administrative tasks such as ordering office supplies, managing databases, and assisting with HR-related activities.
Provide support for ad hoc projects as needed by the Director of Marketing.
Qualifications:
Bachelor's degree in Marketing, Business Administration, Communications, or a related field preferred.
1-2 years of experience in an administrative or research assistant role, preferably in marketing.
Strong organizational skills with attention to detail.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Graphic Design Tools (Adobe, Photoshop, Canva, ec.) and familiarity with project management tools (e.g., Asana, Trello) and marketing software (e.g., Google Analytics, HubSpot) is a plus.
Ability to work independently and manage multiple tasks with changing priorities.
A proactive approach to problem-solving with strong decision-making capabilities.
