EA / PA Hybrid Role

Main Responsibilities:
Scheduling & Calendar Management:
• Maintain personal calendars for family and align with principals business EAs.
• Schedule appointments, trips, dinners and events.
Property Management:
• Oversee daily operations of the home.
• Create and implement internal systems for household operations.
• Maintain files and records on all properties, vehicles and property related assets.
• Coordinate and schedule repairs and regular maintenance upkeep with service providers and contractors.
• Work with interior designers, architectures and contractors on small and large scale home renovation projects.
Lifestyle Management:
• Staying informed on the newest and exclusive restaurants, hotels and cultural experiences.
• Building and maintaining relationships with key contacts to help secure hard to get reservations.
Property Oversight:
• Manage household staff with day to day duties (housekeeper, chef, nanny).
• Manage contractors maintenance schedules (gardeners, pest control, window cleaners, car detailer etc).
• Prepare properties for guests and family arrivals and departures.
Errands & Personal Tasks:
• Handle household purchases, gifting, dry cleaning.
• Tracking orders and returns.
• Maintain care for house plants and create weekly floral arrangements.
• Animal care for dog and cat: upkeep on vaccinations, booking grooming appointments, coordinating dog walkers and pet boarding.
• Vehicle care: clean and in ''ready'' condition, documents up to date, coordinate detailing, washes and routine maintenance.
• Produce birthday parties, dinner parties and holiday events.
Travel Coordination:
• Book private and commercial travel, including flights, greeters, hotels or private rentals, ground transportation, boats, chefs and itineraries.
Financial Oversight:
• Work with family office on invoices and bills. Ensure all bills are paid in a timely manner.
• Work with accounting teams for taxes and investments.
