About the Role & Team:
We seek a detail-oriented and collaborative Talent Acquisition (TA) Coordinator to join our team. As a TA Coordinator, you will manage candidate logistics, coordinate interviews, and facilitate communication between candidates, hiring managers, and assigned Recruiters. In this role, you will support our talent acquisition efforts by providing essential administrative support to the TA team. This includes coordinating pre-employment activities, maintaining candidate databases, and assisting with various recruitment activities. Your attention to detail and ability to manage multiple tasks will ensure our hiring processes run smoothly and efficiently, providing an optimal experience for hiring managers and candidates. The ideal candidate will be confident, professional, responsive, and known for their strong sense of professionalism and urgency.
What You Will Do:
• Partnering with multiple assigned Recruiters supporting all administrative efforts throughout the interview and onboarding process
• Liaise with Recruiters to post positions both internally, externally, and on pre-identified job boards.
• Support all aspects of candidate's interview process, which include expediting the scheduling and coordination of interviews, candidate travel and expense reimbursement.
• Ensure timely scheduling of interviews, coordinating with candidates and hiring teams, while maintaining a seamless candidate experience.
• Maintain clear communication with all stakeholders, resolving any scheduling conflicts and ensuring all parties are well-prepared for interviews.
• Work closely with recruiters, hiring managers, and other HR team members to align recruitment efforts with organizational needs and goals.
• Maintain ongoing communication with candidates, providing updates and responding to inquiries promptly.
• Coordination of Candidate Travel to ensure cost effective and proper travel arrangements and providing exceptional customer service for candidates.
• Makes routine decision pertaining to candidate travel and schedules with ability to understand when to elevate and when to resolve on own.
• Partnering with Recruiters with on-site interviews in order to direct and assist candidates.
• Communicates effectively with Security and facility groups to ensure campus coordination during candidate interviews.
• Coordinate and manage the pre-employment (post-offer) process for candidates by managing the hiring process of new hires from acceptance of offer through on-boarding ensuring that they complete all required activities in a timely manner.
• Coordinating relocation process with Disney Global Mobility (if applicable)
• Schedule new hire for appropriate Day 1 orientation(s) and ensure all communication has been conveyed in order to provide an exceptional experience.
• Other duties or special projects as appropriate for TA team
• Attends planning meetings with team to keep up with future recruiting, events and/or projects
• Participates in creating and building strong working relationships with hiring managers
• Regularly interacts with a wide range of candidates.
Basic Qualifications
• A minimum of 2 years of experience in a recruiting, HR or support role.
• Strong organizational skills with the ability to manage multiple tasks, interviews, and administrative processes simultaneously, ensuring nothing falls through the cracks.
• Able to handle last-minute changes, scheduling conflicts, or shifting priorities with a calm and solution-oriented approach.
• Excellent written and verbal communication skills, focusing on delivering a positive candidate experience.
• Proficiency in Microsoft Office Suite (word, excel, power point, Teams, etc.)
• Familiarity with ATS software (Workday preferred, but not required).
• A team-oriented mindset, willing to collaborate and contribute to a positive work environment.
• Experience in a fast-paced, high-volume environment.
Required Education
• High school diploma or equivalent
