OVERVIEW
This is an executive assistant position in a creative, fun, fast-paced Production Division within a larger creative agency. Your main duty is to help the Chief Creative Officer be prepared, organized, and ready for anything. We're constantly working on a ton of different projects - TV (scripted and unscripted), branded content, podcasts, social media, events and more, so we are looking for an amazing, organized, and pop-culture obsessed human to help it all come together. This is an LA based job with 2-3 days a week in person in our West Hollywood office.
RESPONSIBILITIES
Provide administrative and creative support for the Chief Creative Officer (production department as needed). This includes: prepping for meetings, pulling bios/background research together, light copyediting, note-taking, email drafting, tracking and submitting expenses, booking travel, etc.
Calendar and phone management; including setting (and re-setting) meetings for the entire production team, tracking meetings to-be-set, keeping a phone sheet, rolling calls, preparing itineraries, and ultimately keeping the CCO prepared, on time, and on schedule.
Thinking ahead to anticipate the CCO and the department's needs and act as a culture scout for the department, keeping everyone up-to-date with breaking entertainment and brand marketing news
Contributing to and assisting in creative projects, including content ideation, talent/casting, deck-making, research and brainstorming.
Provide creative and production support for the Production department's general needs including but not limited to: managing social content calendars, support on brand + social shoots, podcast and event support, etc
General administrative responsibilities for our LA office, including ordering supplies, interfacing with building maintenance, etc.
EXPERIENCE
At least one year of desk experience at a production company, talent agency, management company, or entertainment-adjacent company.
Skills
Outstanding organization capabilities. You should love making spreadsheets and grids and be able to create new systems when needed. You can figure out where a piece of material is for a project in a moment's notice.
An ability to conduct internet research - in both quality of findings and presentation of that information.
Knowledgeable and interested in TV, branded content, podcasts, talent, social media and social media influencers. Love of pop culture is a must.
Proven ability to work well under pressure with tight deadlines.
An ability to interact professionally with producers, talent, agents, executives, other assistants, brand reps, etc.
Detailed note taker with an ability to write up agendas, meeting recaps, and draft professional emails.
Demonstrable experience working with GSuite (Sheets, Slides, Docs, etc), Zoom, Slack, Microsoft Office, all Mac applications, and Outlook.
Qualities & Characteristics
A proactive attitude with the ability to take initiative and see things through to completion.
An enthusiasm for various forms of content (Film, TV, brand campaigns, podcasts, social, etc).
