Warner Bros. De Lane Lea is looking for a Reception & Dispatch Coordinator to be the first point of contact for clients, guests, and staff while ensuring the efficient management of the front desk operations and dispatch responsibilities. This role is key to delivering a seamless front-of-house experience and maintaining high operational standards in a dynamic, creative environment.
Your Role Accountabilities…
• Manage the switchboard by answering, screening, and transferring calls efficiently, filtering sales calls as necessary.
• Oversee access control using the CCure system, including issuing and tracking keys and access cards.
• Welcome and direct clients, contractors, and visitors while adhering to security policies, ensuring a professional and secure environment.
• Handle all inbound and outbound deliveries, maintaining accurate records, following security procedures, and booking passenger cars and couriers with accurate billing.
• Maintain clear communication and handovers between front desk personnel, Security, and Runners while monitoring the Security team's performance in reception-related tasks.
• Coordinate with Runners to relay client and staff instructions, ensuring smooth operations.
• Manage company stationery orders, assist with bar stock orders when necessary, and ensure reception and common areas remain tidy and organised.
• Update and maintain internal contact and occupancy lists while serving as a Fire Marshal, ensuring compliance with health and safety protocols.
• Log and track all physical media deliveries, including hard drives and tapes, ensuring accurate recording as part of the asset tracking system.
• Perform additional duties as required by management, bookings, or accounts departments.
Qualifications & Experience…
• Excellent communication and interpersonal skills with the ability to establish immediate rapport.
• Strong customer service skills and an adaptable approach to varying client needs.
• Proficiency in Microsoft Office (Word, Excel, Outlook) and general computer literacy.
• Experience managing a switchboard and handling security access systems is desirable.
• Familiarity with production and post-production environments is an advantage.
• Good numerical skills and strong attention to detail.
• Ability to work well in a team environment.
• Experience using Xytech Media Pulse is beneficial but not essential.
