The ideal candidate is motivated, detail-oriented, and thrives in a fast-paced environment. The Office Coordinator must have excellent verbal and written communication skills, maintain the highest level of confidentiality, and keep pace with an extremely busy office. They will provide general administrative support to our team, manage calendars for common spaces, restock supplies, and maintain a functioning office. The Office Coordinator will also serve as the first point of contact for many of our clients, greeting office visitors and answering phone and email inquiries.
Specific responsibilities include:
Greet and direct clients and guests
Answer and manage the office mainline phone calls and general email
Maintain office supplies inventory and place orders when necessary
Assist with various administrative tasks
Interface between staff and IT team as necessary
Manage office calendar and booking conference rooms
Ensure the office is clean and presentable
Submit maintenance requests when necessary
Coordinate pick-up and delivery of express mail services (FedEx, UPS, United Express)
Set up conference rooms for meetings
Requirements:
BA in Mass Communications, Public Relations, or a related field or relevant life experience
1 year full-time work experience at a management/talent agency or PR agency preferred
Strong writing, research, and organizational skills
Ability to work independently as well as in teams proactively
Strong ability to prioritize, solve problems, and be resourceful
Ability to handle a fast-paced professional environment
Ability to work well under pressure and take direction well
Strong attention to detail
Ability to handle any/all confidential information, issues, and matters in a sensitive manner
