Title: Executive Assistant to President of Television
Location: Beverly Hills, CA (4-days in office, 1 WFH)
Job Type: Full-Time, Non-Exempt (Hourly)
Job Summary:
Our Imagine team is seeking a detail-oriented, sharp and creative Executive Assistant to the President of Television. The ideal candidate is highly organized, adept at juggling multiple priorities and able to keep a busy Department Head/Producer on track. This office oversees all development and production for scripted television at Imagine and can have multiple projects in various stages of development, production and post at the same time. We are looking for an enthusiastic, creative, team player with an eye for detail and a can do attitude.
Job duties include but may not be limited to:
• Coordinate and manage day-to-day schedule, including scheduling & setting up calls, meetings, zooms, etc.
• Field incoming and outgoing calls while maintaining updated phone sheets and contact lists.
• Read and provide input on incoming submissions and project drafts.
• Assist in all aspects of development, production and post-production, including review and organization of dailies, assisting in cast and crew availability, etc.
• Source material and track up-and-coming talent.
• Handle booking and coordination of travel.
• Anticipate needs of the division and be proactive in follow through.
• Prep materials for meetings, organize conference rooms, assist with lunch orders, submit expenses and handle miscellaneous errands.
Qualifications:
• At least 2 years of executive assistant experience, preferably at the Department Head/President level.
• Agency experience preferred, but not required.
• Strong organizational skills, attention to detail and the ability to handle multiple tasks in a fast paced and time sensitive environment.
• Ability to anticipate needs, be resourceful and adapt to continually changing priorities and deadlines.
• Highly collaborative team player who looks out for others and is always willing to help.
• Excellent written and verbal interpersonal skills, strong work ethic and sense of professionalism.
• Ability to remain calm and poised under pressure, apply common sense, and know when to escalate as appropriate.
• Able to be discreet and appropriately handle sensitive and con?dential information.
• High level of proficiency in MS Word, PowerPoint and Excel
• Design skills (Photoshop, InDesign), Airtable and Google Suite a plus.
