This is a Full Time Job
This position is hybrid/remote and based from either our Los Angeles or New York office.
Job Scope:
The Billing Coordinator works within the Company's Billing Department, which is responsible for the Company's Accounts Receivable processes. Under the guidance of the Finance Director, the individual works closely with many departments, including Sales, Production, Management, and Finance to ensure projects are properly prepared for billing and to help resolve customer disputes. Responsibilities include but are not limited to the following:
Key Responsibilities:
• Read, prepare, and process work orders for billing
• Prepare/input and correct billing in the Company's resource management and scheduling software, Xytech MediaPulse
• Interface with operations, sales, producers, and clients as needed to gather information, respond to inquiries, research disputed transactions, and resolve discrepancies
• Review pre-invoices to ensure proper services, rates, hours and Purchase Orders were used
• Review completed jobs to ensure that line items charged are correct
• Prepare pre-invoices for clients
• Invoice customers for services performed as well as monitor outstanding balances; raise awareness with client billing challenges
• Process accurate daily/weekly and monthly billing in a timely manner
• Review open billing reports and follow-up with producers to drive billing throughout the month
• Support special projects and prepare ad hoc reports as requested by management
• Support Finance department as needed
Skills/Experience Required:
• Previous experience in the post production industry is a plus
• Data-entry experience with a resource management & scheduling software
• Basic knowledge of billing and invoicing processes, rate cards and contracts a plus
• Ability to multi-task while paying close attention to details
• Demonstrated history of exercising a proactive approach with good follow-up skills
• Excellent customer service skills
• Ability to work independently and as part of a team and take on new tasks
• Proficiency with Microsoft Office (Excel, Word) required
• Proficiency with Xytech MediaPulse required
• Solid communication (written and verbal) skills
• Ability and willingness to interact effectively with multiple personalities and styles, within and outside the department
• Organized and detail-oriented with ability to prioritize and plan well in order to meet deadlines, without hesitancy to ask for direction or assistance/guidance from supervisors
• Comfortable working in a demanding fast-paced environment, taking on new tasks, handling multiple tasks simultaneously in a deadline driven department
Work Environment and Physical Demands:
This job operates in a professional office environment. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to stand; walk; use hands and reach with hands and arms. The employee may also be required to lift product or equipment weighing up to 50 lbs.
Position Type/Expected Hours of Work:
Prompt and regular attendance is required, employees are expected to begin work at the start of their scheduled shift and to complete their assigned work shift according to the responsibilities of their position.
This position works shifting schedules with some later starts and may require long hours and some weekend work.
Travel:
Some out-of-state/country and overnight travel may be expected.

Salary Range
: $60,000.00 - $70,000.00 / Per Year
