Summary of Position
The Administrative Assistant will handle the day-to-day administrative duties for two executives: the Senior Vice President, Publicity, Events, and Awards, and the EVP, Insights & Analytics in STARZ’s New York office. This role offers a great opportunity to join a collaborative, high-functioning team with room for professional growth. This role requires a detail-oriented planner with excellent verbal and written communication skills who can respond effectively and efficiently. The successful candidate will demonstrate the ability to proactively anticipate needs and maintain a high level of professionalism. Managing complex calendars and scheduling will demand attention to detail and superb time management and organizational skills.
Responsibilities
• Manage complex calendars and scheduling for two executives, coordinating extensively between internal and external stakeholders across NY, LA, and the UK.
• Communicate comfortably with assistants of high-level executives, showrunners, talent representatives, etc., while maintaining a professional demeanor.
• Handle general assistant duties including scheduling conference calls/zooms, meetings, compiling documents, creating and distributing agendas, creating travel itineraries, ordering office supplies, and managing newspaper/magazine deliveries.
• Arrange domestic and international travel for the two executives, including booking airfare, hotels, and cars; and support talent travel for the publicity department as needed.
• Prepare and submit expense reports, scan receipts, code documentation for corporate submission.
• Provide departmental administrative support and manage projects as assigned, including staffing red carpet premiere events, screenings, panels, NY Comic Con, Tribeca Film Festival, PaleyFest, etc.
• Submit and process invoices and manage departmental accruals.
• Partner closely with C-Suite executive assistants and assistants across the company, including those for talent and executive producers in Santa Monica, NYC, and internationally.
• Serve as a trusted partner to the executives, exercising good judgment.
• Must be proficient in Outlook and comfortable navigating various software applications.
• Organize meetings, including booking conference rooms, ordering catering, and creating itineraries.
• Receive and process departmental invoices, working with accounting and finance to ensure expenses are accurately reflected in department budgets.
Qualifications and Skills
• Bachelor’s degree or equivalent experience.
• Minimum of 2 years of administrative experience.
• Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Google G Suite tools (Docs, Sheets, Slides).
• Competency with modern communication tools such as Zoom, Teams, Slack.
