We are an Academy Award and Emmy-winning production company, working across feature documentaries, unscripted series, and commercial and short form content. The Office Manager will oversee and support the successful day to day operation of our production office. The Office Manager will provide administrative assistance to the Company President and support to the production team. This position is office-based.
Duties and Responsibilities:
Office Management
• Oversee and support all administrative duties in the office and ensure that office is operating smoothly
• Manage weekly and monthly office schedule & calendar
• Manage office supplies inventory and place orders as necessary
• Manage and process bi-weekly payroll
• Perform reception duties
• Receive and sort incoming mail and deliveries, and manage outgoing mail
• Develop office policies and procedures, and ensure they are implemented appropriately
• Manage the onboarding of temporary project staff with keys, alarm, seating and IT needs
• Manage scheduling of screening and meeting rooms.
• Manage special events, guest list, invitations and catering
• Manage third party rental requests for office and theater
• Manage distribution requests for company owned projects
• Maintain company and production databases
• Maintain Google Drive and Dropbox file storage
• Book travel and prepare itineraries for staff
• Maintain receipts for company expenses and create monthly credit card reconciliations.
• Manage petty cash float and reimbursements
• Occasional runs
Administrative Support to Company President
• Maintain calendar & diary, arrange meetings and appointments and schedule reminders
• Make all travel arrangements and prepare itineraries.
Production
• Oversee company-owned camera and audio equipment inventory & manage check ins/outs with PA's and AC's.
• Assist with creating and managing production paperwork to include Call Sheets, Production Reports and Releases.
• Support Production team with booking crew, equipment and travel as needed
• Manage petty cash requests, reconciliations and reimbursements
• Assist project teams with network deliverables and project wrap paperwork
• Delegate tasks to Office PAs and Interns
Requirements
• Experience as an Office Manager and or Production Coordinator.
• Proficiency in Google Workspace, Dropbox, Microsoft Office and Zoom
• Familiarity with film camera equipment.
• Previous experience with Asset Tiger is a plus
• Excellent time management skills and ability to multitask
• Attention to detail and problem solving skills
• Excellent written and verbal communication skills
• Strong organizational and planning skills in a fast-paced environment
