Office Coordinator serves as primary point of contact for guests and visitors to the LA Clippers office. They perform a wide range of administrative and office support activities for the department and management staff. Day to day responsibilities include fielding telephone calls, receiving and directing visitors, handling information requests, arranging conference calls, and scheduling meetings and hospitality. This role may also provide training to interns on general support office duties.
Principal Duties and Responsibilities
• Demonstrate a customer service attitude along with excellent guest service skills in all aspects of job performance.
• Provide extraordinary customer service to all guests and visitors entering the lobby area of the Clippers office. Ensure that all visitors and guests are comfortable while waiting.
• Receive and direct visitors and clients; determine whether visitors should be given access to specific individuals. Alert team member and escort guest to meeting location if asked.
• Arrange parking and security clearance for all employees, incoming guests and visitors.
• Answer, screen, and transfer inbound phone calls on multiple lines to their appropriate destinations.
• Respond to general questions regarding the organization. Direct specific inquiries to appropriate people.
• Arrange and schedule conference call bridge lines for conference calls as necessary.
• Schedule and coordinate all conference and meeting rooms for the organization.
• Assist with coordinating office celebrations, lunches, and parties.
• Research, price, and purchase office and kitchen supplies to maintain appropriate inventory levels.
• Ensure that the reception area, kitchen, supply room, and conference rooms are clean, stocked, safe, and ready for use at all times.
• Act as point of contact for any arena services and maintenance, including telecommunication support, repairs, electricity, internet, plumbing, heating, and air conditioning issues.
• Manage and maintain water and coffee accounts for Clippers office.
• Coordinate and schedule all office equipment maintenance and replacement, if needed. Assist staff members with the operation of office equipment.
• Perform general clerical duties including photocopying, faxing, and mailing.
• Open, sort, and distribute all incoming correspondence, as well as prepare outgoing correspondence, reports, drafts, memos, and emails.
• Responsible for accepting and distributing FedEx or similarly delivered packages and office deliveries.
• Review and properly code invoices related to office and kitchen supply orders, FedEx, and other office related services.
• Order business cards and office stationary when required.
• Maintain phone directory listing for Clippers office and key partners and vendors.
• Distribute the monthly arena event and building availability schedules to the staff.
• Maintain Front Desk Procedures Manual.
• Perform other duties as assigned.
Characteristics
/ Qualifications
• Bachelor's degree preferred, but not required.
• Three (3) years of experience in general office responsibilities and procedures preferred.
• Experience dealing with executive level staff.
• Pleasant, professional, and represent the organization in a positive manner.
• Ability to maintain a level of confidentiality with information that is received.
• Possess intermediate computer skills and knowledge of relevant software including Microsoft Suite.
• Knowledge of operation of standard office equipment including postage machines, printers, scanners, etc.
• Possess knowledge of clerical and administrative procedures and systems such as expense reports and record keeping.
• Demonstrated dedication with the ability to oversee projects from origin through execution.
• Excellent communication skills, both oral and written.
• Willingness to learn with ability to flourish in a high-growth, dynamic environment.
• Self-starter and entrepreneurial spirit with hands-on approach towards business.
