Part-Time Finance Manager
Boutique Photography Production Company is seeking a Part-Time Finance Manage. The Finance Manager will be responsible for all accounting, bookkeeping, payroll and financial tasks. This person must be easy to communicate with, proactive, extremely detailed, wildly organized, and adaptable to the rhythm of the unpredictable production industry. Experience with photography and/or video production is preferred, but we would be willing to train on this portion for the right candidate, as having a full understanding of the industry will be crucial to success in this role.
As the Finance Manager, you will report to the Founder and be responsible for:
• Budgeting: Working alongside our project coordinator in managing client budgets including estimates, oversight, company analysis and forecasting.
• Bookkeeping: Responsible for capturing all time and expenses per project in Quick books along with project reconciliation prior to invoicing.
• This includes working closely with Producers to ensure all receipts are included in the final client wrap book. Manage general ledger month-end closing, bank account reconciliation, and financial statements.
• Assist with Government Regulatory tax reporting - payroll, 1099s, 1042, etc.
• Payroll: Onboarding and processing payroll/expenses for employees and crew.
• Accounts Payable: Ensuring bills and contractor payments are made on time. Assist with Domestic and International payment processing.
• Accounts Receivable: Drafting, sending, and following up on invoices.
• Client Onboarding: Assisting with new client paperwork and POs.
• Administrative Onboarding: Leading the record-keeping/onboarding for new team members, contractors, and vendors.
• Employees: Manage payroll using 3rd party service, PTO program, healthcare / benefits and 401(k) plans, education and enrollment program and open enrollment. Maintain knowledge of Accounting/Payroll regulations to ensure we are in compliance with local, state and federal government ordinances.
To be well-qualified for this role, you must:
• Bachelor's degree in accounting or business administration or prior experience with bookkeeping is required.
• Be proficient in Excel and G Suite products (Sheets, Google Drive, etc).
• Proficient in Quickbooks is a requirement.
• Excellent analytical, financial analysis and organizational and communication skills
• Exhibit grace under pressure and be comfortable with the unknown.
• Practice good time management and proactively anticipate next steps.
• Committed, and highly dependable hands-on team player with a solutions-oriented approach.
• Meticulous documentation and record keeping.
• Highly detail oriented with strong judgment and integrity.
• Be communicative and a good listener.
• Strong computer, verbal and written communication skills.
• Have an interest in the production industry. Experience with complex industries that track project costing like large scale events and/or construction is a bonus.
• Comfortable working in a Mac environment.
Job Type
Part-time: 10-16hrs per week.
Environment
This is a Part/Flex time role. For the right candidate we are open to this role being fully remote (if outside of the Bay Area). If local to the Bay Area, we may require you to do some on-site work at our offices in the Half Moon Bay Harbor. Our industry is fun, complex, and last-minute by nature - you must be able to thrive in a fast-paced, ever-changing, and open working studio environment.
Compensation and Hours
$40-50/hr based on experience. While consistent days/times of the week are preferred, we can be flexible with how we set those hours throughout the week depending upon your schedule.
