The Role
Moonbug Entertainment is seeking a highly skilled and experienced Executive Assistant to provide top-tier support to our Managing Director and Head of Consumer Products. This is a critical role for a career Executive Assistant who thrives in a fast-paced environment, anticipates needs before they arise, and is committed to excellence in executive support.
This role goes beyond administrative tasks-it requires strategic thinking, discretion, and the ability to manage complex workflows. The ideal candidate is proactive, detail-oriented, and highly organized, with a deep understanding of executive operations and business priorities.

Responsibilities
• Manage complex calendars, anticipate conflicts, and prioritize tasks to ensure executives are prepared for meetings and commitments.
• Handle sensitive information with the highest level of confidentiality and integrity, acting as a trusted liaison between executives and stakeholders.
• Organize and coordinate high-level meetings, including agenda preparation, note-taking, and ensuring follow-ups are completed.
• Support executives with strategic projects, internal workflows, and cross-functional initiatives while proactively identifying potential challenges and solutions.
• Draft and refine correspondence, presentations, and reports with strong attention to detail and professionalism.
• Oversee travel arrangements, including booking flights, accommodations, and ground transportation, while managing expense reporting with accuracy.
• Act as a gatekeeper by filtering priorities, managing competing demands, and addressing issues before they escalate.
• Adapt to shifting priorities and unexpected challenges with professionalism and problem-solving skills.
• Utilize advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant tools to enhance efficiency.
• Communicate effectively with internal and external stakeholders, demonstrating professionalism, diplomacy, and strong interpersonal skills.
• Collaborate with internal teams and external partners to streamline processes and drive operational efficiency.
• Assist with planning and executing large meetings, executive offsites, and company events, ensuring seamless coordination.
Requirements
• 7 years of Executive Assistant experience, supporting senior leadership or C-level executives.
• Strong business acumen and ability to anticipate executive needs before they arise.
• High level of professionalism, discretion, and emotional intelligence.
• Exceptional written and verbal communication skills.
• Ability to juggle multiple priorities and execute in a fast-paced, high-pressure environment.
• Proactive problem solver who takes initiative and follows through with minimal direction.
• Advanced proficiency in Google Suite, Microsoft Office, and scheduling tools.
• Experience managing complex travel itineraries and high-profile events.
