The Executive Assistant is responsible for providing comprehensive administrative support for the EVP, Programming & Content Development.
Job Duties:
• Provides administrative assistance to EVP, and leads small to mid-size projects.
• Assists with the preparation of presentations, metric reports, dashboards, and other business reports.
• Performs general duties, including general correspondence, word processing, filing, faxing, copying, preparing and reconciling expense reports, ordering office supplies and managing all subscriptions.
• Effectively interfaces with all levels of employees, customers and external constituents.
• Assists with internal communications as well as communications with clients.
• Processes, tracks and reconciles department invoices.
• Ensures email, phone calls and other messages are delivered to the appropriate manager or responsible party in a timely manner, acting with the appropriate sense of urgency.
• Effectively arranges meetings, conference calls and video conferences.
• Coordinates staff meetings and client meetings as necessary; prioritizes meeting requests based on importance and schedules accordingly.
• Arranges domestic and international travel.
• Coordinates participation of Corporate and Network events .
• Executes special projects and assignments as directed, specifically dealing with administrative functions and the coordination of events [e.g., arrange catering, coordinate location, etc.]
• Plans/coordinates various events in conjunction with internal departments.
• Other duties as assigned.
Qualifications
Basic Requirements:
• Bachelor's degree and a minimum of 2 years of prior administrative experience, at executive assistant or comparable level, or an equivalent combination of education and experience.
• Excellent computer skills and proficiency with all Microsoft Office applications, especially PowerPoint and Excel; demonstrated expertise utilizing Excel pivot tables and advanced features (such as VLOOKUPs and other formulas) to provide reporting and summarize data sets.
• Strong analytical skills, with the ability to manipulate, summarize and present data in a cohesive manner.
• Exhibits strong documentary organizational skills.
• Fully bilingual: ability to read, write and speak clearly in English and Spanish.
• Demonstrated ability to multitask in a fast paced, dead-line driven environment.
• Demonstrated ability using discretionary judgment in the handling of written correspondence and written/verbal communications.
• Strong executive presence, presentation and communication skills.
• Strong organizational skills and the ability to manage electronic filing systems.
• Demonstrated ability to maintain a high level of confidentiality.
Desired Characteristics:
• Superior organizational and administrative skills with the ability to multi-task and prioritize work as required.
• Ability to successfully manage multiple projects in a fast paced, dead-line driven environment.
• Attention to detail and demonstrated initiative, with ability to follow through without supervision.
• Experience with MS Project and Visio.
• Previous experience in media, creative, or technology fields.
• Must demonstrate good judgment.
• Must be proactive and able to prioritize while handling ever-changing demand.
Additional Requirements:
• This position has been designated as hybrid, generally contributing from the office a minimum of three days per week.
• Willingness to travel and on weekends with short notice.
• Must be willing to work in the greater Miami, Florida area.
• Must be 18 years or older.
• Must have a valid driver's license.
• Must be covered by Solutions, NBCU's Alternative Dispute Resolution Program.
• Must be available to work (whenever necessary for show production) early mornings, evenings, holidays, weekends, and natural disaster emergencies.
