Executive Assistant, News Group Operations & Technology
Location: 30 Rockefeller Plaza, New York, NY
Position Summary:
NBCUniversal’s Operations & Technology division seeks a high-energy, detail-oriented Executive Assistant to provide comprehensive administrative support to the EVP of News Group Operations & Technology. This role requires strong planning, time management, and communication skills to coordinate schedules, travel, and internal communications across the News Group and Operations & Technology teams.
Responsibilities:
• Manage and coordinate daily schedules, calendar appointments, contacts, travel arrangements, and meetings
• Schedule and prioritize a large volume of meetings across multiple time zones
• Arrange domestic and international travel, including work visas and multi-city itineraries
• Process expense reports, reconcile P-card transactions, and route invoices
• Facilitate complex meetings and team events, including room setup, AV support, agenda preparation, note-taking, and follow-up on action items
• Coordinate internal group communications via newsletters, intranet posts, and messaging tools
• Create and edit presentations, agendas, spreadsheets, and reports
• Utilize PowerBI and Excel for operational data reporting and metrics
• Manage executive files, both physical and electronic
• Participate in special projects and support other department members as needed
Qualifications:
• Bachelor’s degree required
• Minimum of 2 years of experience supporting a senior executive
• Proficiency with Microsoft Office 365, Teams, Slack, and NBCUniversal systems for travel and expenses
• Ability to take detailed notes and understand priorities to adjust schedules
• Professional presence, both in-person and virtually
Workplace Requirements:
Hybrid: Four days in-office per week
Salary and Benefits:
