Prominent boutique celebrity endorsements agency seeks Los Angeles-based Executive Assistant to support the brand division of the agency in a full-time, in-person role, reporting directly to the Co-founder that oversees this division. The Co-founder and the Brand Consultant on this team currently manage the talent casting + buying for a major luxury beauty brand's celebrity campaigns, personal appearances, and special projects. They are currently looking for administrative support, as their client roster is set to grow this year. The ideal candidate will have a passion for entertainment, advertising/marketing/brands, and celebrity talent strategy.
Responsibilities:
• Provide administrative support including scheduling, coordinating calls + meetings, correspondence, updating contact lists + trackers, and special projects, as needed
• Manage organization of all talent files + folders including contracts, brand assets, social media clippings, etc.
• Maintain a strong pulse of the status of all on-going projects, anticipating client/team needs and proactively
• General research as required on: talent, entertainment industry trends, competitors, brands, and events
• Coordinate logistics for domestic/international travel including comprehensive travel itineraries, as needed.
• Effectively take notes and draft recaps post-client meetings
• Execute personal tasks + errands for Co-founder, as needed
• Must maintain confidentiality of all records and information pertaining to clients, employees, and the organization
Qualifications:
• Minimum of a Bachelor's degree in Communication, Business, or the equivalent preferred
• At least 1 year of admin experience in the entertainment industry. Work experience in a talent/advertising/marketing agency preferred.
• General understanding of brand consulting/entertainment industry and the nature of a talent agency. Eager to gain foundational industry knowledge
• Ability to multi-task and work in a fast-paced environment
• Flexibility to work evenings and/or weekends, as required
• Team-oriented, able to pivot and take on new tasks quickly
• Excellent written and verbal skills. Strong at communicating in written format through well-crafted email correspondence
• Superior organization, prioritization, time management skills, and attention to detail
Salary/Benefits
This is a salaried-position that is eligible for benefits after a 3-month on-boarding period. Salary is contingent on experience level.
