Hybrid Position:however, must be able to dedicate at least 1-2 days per week to working in the NYC office.
JOB SUMMARY
The Operations Assistant is responsible for assisting and executing the activities and tasks associated
with detailed billing operations, invoicing, and data entry. Additionally, they will work directly with the
Director of Operations and staff to provide adequate support to work efficiently.
PRINCIPAL ACCOUNTABILITIES
The Operations Assistant will provide support by assisting and completing administrative tasks, including,
but not limited to maintaining the company's internal talent systems and aiding in the billing operations.
- Assist in the business billing process, correcting invoice issues, and form filing.
- Generate/Update tracker reports and spreadsheets.
- Gather Vendor/Talent information required for the billing process.
- Aiding in maintaining new and existing Talent profiles and document management.
- Mail sorting and filing.
- Assist in continuous improvement opportunities.
- Assist in maintaining company partnerships including travel to scouting events.
EDUCATION & EXPERIENCE
- A minimum of 2 years experience working in administrative or accounting fields.
- Experience with Microsoft Excel, Microsoft Word, Adobe, Google Docs, Google Sheets,
Gmail and QuickBooks accounting software preferred.
- Effective verbal and written communication skills with ability to communicate at all levels
of the organization.
- Highly analytical with strong attention to detail and accuracy.
- Strong time management and organizational skills.
- Ability to work both independently and in a team setting.
- Adaptable to a fast pace, multi-task environment.
