Overview and Responsibilities
We are seeking an Executive Assistant for the SVP Global Payroll. In addition to the SVP, you will also provide general department assistance to the full Global Payroll team. As our ideal candidate, you will be detail-oriented, capable of multi-tasking, and able to appropriately handle sensitive information. You will anticipate the needs of a busy leader and team and take the initiative to solve problems thoughtfully and independently.
• Respond to direct and anticipated requests, providing fast, accurate, and thoughtful replies; follow up on action items on behalf of the leader as needed
• Scheduling and calendar management including coordination of in-person and Zoom meetings with multiple participants and locations
• Monitor phone calls and email communications, including centralized hotlines and mailboxes, and compose timely correspondence, reports, and other documentation
• Assist with preparation of PowerPoint presentations, data files, and other confidential documentation
• Process departmental purchase orders, invoices, and expense reports
• Create and manage travel itineraries
• Provide direct support for team office needs, supplies, building security, and maintenance
• Collaborate with other assistants to obtain information, problem solve and achieve desired results.
• Handle administrative duties such as copying, printing, scanning, organizing documents and folders, etc.
Basic Qualifications
• Bachelor's Degree preferred
• 3 years supporting a senior leader and/or team
Additional Qualifications
• Strong execution and organization skills with the ability to prioritize and execute multiple priorities seamlessly with excellent attention to detail
• Strong interpersonal skills and the ability to build relationships with internal and external partners
• Excellent written and verbal communication skills
• Highly resourceful team-player, with the ability to be extremely effective independently
• Proficient in Microsoft Office suite
• Proven ability to handle confidential information with discretion
• Thrives in a fast-paced work environment, readily adapting to continually changing priorities & deadlines
