We are seeking an experienced and highly motivated individual to join our team as an Administrative Assistant with the Basketball Operations Department.

All work, including remote work, should be performed within Arizona.
What Will You Do:
• Maintain regular communication with General Manager at the Verizon 5G Performance Center for strategic operational needs and enhancements
• Take direction from the Basketball Ops Executive team and Director of Basketball Operations on day to day on basketball staff administrative coordination and scheduling and venue operations as needed
• Be available to troubleshoot and support the Suns/Mercury front office and coaching staff with any facility or administrative needs
• Act as liaison to Footprint Center for streamlining operational protocols
• Create, maintain, and distribute a weekly, monthly, and annual building schedule that includes conference room blocks, project installs, practice and shoot around times, maintenance and utility work, etc.
• Oversee inventory of office supplies including ESG enhancements, workspace furniture and IT needs as well as oversight of minor renovations and improvements within the building
• Oversee and manage parking protocol / for staff, players, guests, and deliveries
• Serve as liaison for Suns/Mercury business staff, AV, and IT department at the Footprint Center to schedule visits to the practice facility for routine maintenance and special events
• Schedule and lead any tours of the Verizon 5G Performance Center and adhere to facility and team rules for guests in the building (areas that are off-limits, which groups are allowed to tour at certain times of the year, etc.)
• Act as the liaison to all outside vendors and contractors (both current and future such as Verizon, Simi, etc.), including the ability to review and analyze bids and oversee the progress and completion of projects
• Manage billing and accounts payable services for building operations expenses
• Take on other operational tasks as needed throughout the flow of the season to assist the Suns/Mercury front office with day-to-day or long-term projects (based on availability)
What We Need From Our Assistant:
• Possess a general understanding and familiarity of the NBA, WNBA, and NBA G League as well as the flow and cadence of a season (including busy and downtimes)
• Exercise discretion and an executive presence as a team member when engaging with personnel, coaches, and players
• Advanced knowledge and experience with the Microsoft Office suite, including Microsoft Word, Excel, Teams, PowerPoint, and Outlook; advanced capability in creating interactive presentations (PowerPoint, Canva, Keynote, etc.)
• Proficient experience with third-party workflow programs and Project Management software/applications such as Monday.com, Zoom, Miro, Slack, Calendly, Google Suite, and others
• Proficient technical skills in administration including the use of smartphones, tablets, and laptops as well as familiarity with basic IT and AV equipment
• Advanced organizational skills and ability to balance and maintain multiple projects at the same time
• Advanced attention to time management, detail, and proficiency in written and spoken English, including correct spelling and proper grammar
• Proficient understanding and practice of basic budgeting and accounting for transactional purposes
• Advanced ability to communicate succinctly, clearly, and effectively to different groups in the building and manage executives accordingly
• Possess the ability to build and maintain strong relationships with other departments to meet event and team needs
Experience/ Education Requirements:
• 1-3 years of administrative experience in a sports environment (collegiate, high school, AAU/grassroots or professional team services
• Bachelor’s degree preferred

• Position is predominately computer-based, requiring the use of a computer monitor
• Must be able to carry on a conversation both on the phone and in-person
