We are hiring two Guest Experience Managers (one NYC, the other, LA) for a fixed 12-month period with an option to renew for an additional 12 months. The Guest Experience Manager is responsible for supporting and organizing the outreach and communications to targeted clients in order to secure their attendance at key international Robb Report luxury curated events. This role will need to ensure that guests understand and receive important travel details pertaining to their luxury travel experiences. This client relations role would focus specifically on the delivery and execution of international tailored travel events as well as a significant international yachting and lifestyle event. International travel is required for this position.
As PMC values in-person collaboration and team cohesion, employees work onsite 4 days and 1 day remotely each week with a focus on maintaining a vibrant and inclusive culture.
Duties:
• General administrative duties for global Live Media Events
• Maintain database of invite list, event attendees, log all member data, and notes
• Keep track of attendee outreach efforts and follow up communication schedules
• Execute personalized guest outreach surrounding specific event invitations
• Manage all recordkeeping and communications with clients
• Coordinate distribution of all digital and print invitations, announcements, itineraries, scheduling, etc.
• Collect event payments from guests, and coordinate travel logistics. Record all payments and distribute receipts.
• Keep track of RSVPs and update internal team on booking pace through weekly reporting
• Gather, prepare and distribute biographical information (face pages) for internal distribution prior to events
• Fulfill individual special requests, answer questions about programs and generate FAQs, gather international travel need details inclusive of eVisa, passport and international driver’s license
• Gather traveler information for various trips, convey details of events and schedules, gather and record signed waivers
• Work with General Counsel to update and distribute waiver and release forms for events
• Research prospective guests/attendees across multiple channels (social media, clubs, etc.)
• Support events on an as needed basis (pre-event planning phase and onsite support)
Ideal Skills and Experience:
• Extremely organized and punctual
• Strong interpersonal communication skills
• Significant administrative experience
• Experience in luxury marketplace or with UHNW individuals
• An understanding of the yachting industry
• A positive self-starter and team player with a can-do and solution-oriented attitude
• Ability to work independently on directed tasks
• Ability to excel in high-pressure situations
