We are searching for an Executive Assistant who creates the extraordinary while performing many administrative duties supporting our General Manager of Rose Quarter Operations and other senior leaders as assigned. You are the one for us if you are self directed, professional, own your work and prioritizing tasks in a dynamic environment.
You will be responsible for:
• Coordination of communications including taking calls, responding to email and interacting with senior leadership, team members, and industry partners.
• Managing the schedule of commitments including prioritization and actively guiding General Manager through day while ensuring all preparation, understanding of commitments and key details is clearly conveyed.
• Scheduling meetings and appointments in addition to handling travel itineraries.
• Arranging logistics for offsite events and meetings inclusive of meal provisions.
• Maintaining departmental budgets and reconciliation including expense report submission.
• Organizing, advertising and tracking of our employee culture program(s).
• Handling the complimentary ticket distribution for our leadership team.
• Assisting with business plan and presentation creation as needed.
• Assisting in the design and content creation of quarterly part-time team member newsletter.
• Preforming other duties as assigned.
You are qualified if:
• You have earned a 4-year degree or equivalent and have minimum of 3 years' administrative support experience.
• You possess advanced thorough knowledge of MS Office Suite and it's applications.
• You are focused and effective at getting results while meeting deadlines in a dynamic environment.
• You have a keen attention to detail and are dedicated to strong communication and follow through.
• You demonstrate excellent people skills and the ability to interact effectively in a professional, supportive and mature manner with internal and external partners.
• You understand all customer needs and responding accordingly; anticipating customer needs; giving high priority to service and customer happiness.
• You possess strong character, integrity, flexibility, enthusiasm, sense of humor, perseverance, and self-control.
• You are effective at leading through ambiguous situations and tasks.
• You appreciate the importance of upholding a strict level of confidentiality when required.
