Job Title: Full-Time Administrative Assistant to Renowned Documentary Director/Producer & CEO
Location: In-Person, Monday-Friday in Culver City, CA
We are seeking an exceptionally organized and motivated Administrative Assistant to support a Grammy and Emmy-winning, Academy Award-nominated documentary Director/Producer and CEO. This is a unique opportunity for someone eager to immerse themselves in the documentary filmmaking process and assist with high-level film production tasks. Seeking availability to start now/ASAP.
Key Responsibilities:
• Provide comprehensive administrative and personal support to the Director/Producer and CEO, including managing calendars, booking domestic and international travel, and scheduling meetings.
• Work closely on documentary film projects and assisting in project-related tasks, offering support on various productions and initiatives as an assistant producer, including:
- BUDGETING: Assist with budget tracking, financial reporting, and cost management.
- RESEARCH: Assist in research and treatments for various projects.
• Manage office logistics and workflow, ensuring smooth daily operations and maintaining a highly organized workspace.
• Serve as a liaison for internal and external communications, including drafting correspondence and handling confidential matters with discretion.
• Personal assistant duties, including managing errands, appointments, and ad hoc tasks as required.
• Maintain meticulous files and records, ensuring easy access to information.
• Bonus: Bookkeeping experience is highly desirable, as there will be some financial tracking and budget management.
Qualifications:
• MUST HAVE previous experience as an Executive Assistant or in a similar administrative role (at least 6 months of desk experience REQUIRED).
• Preferred: Agency experience or previous work in the entertainment industry.
• A high level of attention to detail and the ability to juggle multiple priorities in a fast-paced, dynamic environment.
• Strong organizational skills with the ability to work independently and proactively.
• Desire to learn about the film production process and documentary filmmaking.
• A positive attitude, strong communication skills, and the ability to handle confidential information with integrity.
• Must be based in Los Angeles and have reliable transportation to the office in Culver City.
This position is NOT on-set. We are looking for someone who is eager to learn from a high-level industry leader with multiple business activities.
