We are looking for a Production Coordinator who reflects the innovative spirit, production excellence, and collaborative mindset to join Skywalker Sound.
The Production Coordinator will provide support to the Senior Vice President/General Manager (''SVP/GM'') and Director of Production (''DOP'') of Skywalker Sound which includes scheduling and answering phones, coordinating intercompany travel, Special Event Notifications to Skywalker Properties, screenings, awards submissions, and providing back up to our client services and production services departments.
This role is considered Onsite, which means the employee will work onsite 5 days a week at our offices in Nicasio, CA.
What You'll Do
• Act as a single point of contact for all Production Meetings, including scheduling, documentation (video recording and/or screencasting) coordination, RSVPs, and posting to Skyonline.
• Support the SVP/GM and DOP in calendar management, travel arrangements, and support, expense reports, and preparing for presentations, company meetings, and other key events.
• Working with ILM/Lucasfilm PR, compiles PowerPoint slides for company meetings/presentations including organizing all award ceremonies, and member and award submissions.
• Manages, prioritizes, and screens the GM and DOP incoming phone calls, voicemail, mail, and correspondence. Also handles overflow or non-essential email communication.
• Proactively assists with all general administrative functions as needed/requested.
• Updates resumes for the company's key freelancers.
• Schedule, attend, notate, and distribute notes at department meetings.
• Working with ILM/Lucasfilm PR, compiles PowerPoint slides for company meetings/presentations including organizing all award ceremonies, and member and award submissions.
• Organize all company screenings and all details about them, including drafting the email announcements, inputting guests into the visitor system, and liaising with security for Ranch access.
• Greets Skywalker Sound guests and manages their activities while on campus.
• Responsible for giving tours of the Skywalker Sound Technical Building and other Ranch locations.
• Provides back-up administrative support to the Director of Production.
• Assist with special projects as needed, including special event coordination.
• Maintains client contact and location list used by various parties
• Submit expense reports for various departments including production and client services.
• Enters scheduling information into ShowMGR
• Updates Skysound.com and other Socials
• Creates project credit lists with DOP approval
What We're Looking For
• College degree, or equivalent, and 3+ years relevant experience in a corporate, preferably entertainment environment.
• Excellent communication skills, written and verbal. Ability to effectively and efficiently communicate with all levels of executive, management and staff.
• Demonstrated professionalism and ability to maintain the highest level of confidentiality.
• Proven ability to successfully handle a high level of client interaction.
• Ability to manage multiple projects and tasks with a high level of detail and accuracy.
• Excellent organizational and follow through skills.
• Highly computer literate. Must be proficient with the following software; GSuite, MS Word, Excel, Power Point. FileMaker Pro preferred.
• Demonstrated ability to partner with others and build relationships.
• Ability to work well and prioritize in a fast paced multi-project environment.
• Must work well under pressure.
The hiring range for this position in San Francisco is $59,900.00 - $76,600.00 annually per year. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
