A&R Assistant, US Latin (Temp 6mo )
As the A&R Assistant, you will report to the VP, A&R for Sony Music US Latin, located in Coconut Grove, FL. The goal for this role is to provide high-level administrative and coordinator support for the VP and Senior Members of the A&R team.
The ideal candidate is a bilingual Spanish and English with strong communication, interpersonal and problem-solving skills. You are a proactive, confident and friendly Assistant, with a positive, flexible attitude. You thrive in fast paced creative team environment and are super-efficient at moving things along for time sensitive deadlines and approval processes. You love organizing and pleasing others and have excellent follow up, time management skills and are Tech Savvy too!
What you will do:
• Act as a liaison between VP, Senior Members of the A&R team and our affiliates across the Sony Music family (department leads, senior executives) Industry contacts, (artists, managers, attorneys, etc.), and external contacts (vendors, agencies, partners, etc.)
• Manage calls, emails, maintain calendars, contact lists, coordinate meetings/conference calls and plan events with outside vendors.
• Provide coordination of executive travel and create and confirm all travel itineraries.
• Prepare business expense reports in a timely, accurate and efficient manner.
• Track, order and maintain music product and office supplies.
• Issue purchase orders to vendors, obtain necessary approvals, costs, and process invoices.
• Coordinate general information and document flow across Sony Music family of departments (legal, finance, marketing, digital, etc.)
• Archive and maintenance of critical files, records, and song demos.
• General project management (as needed) and as requested.
• Manage end-to-end Account Payable process (including vendor work-for-hire agreements, vendor set-ups, creating purchasing orders, obtaining approval for invoices, initiative payment processing, and following-up to ensure timely processing of all invoices).
• Provide coordination of regional artist travel, studio bookings, media/press junkets, and other related marketing events.
• Maintain label copies, notes, and credits for upcoming releases.
• Coordination of efforts to find new source material for artists (songwriting sessions, mix sessions, etc.)
Who you are:
• Bachelor's degree in Business Administration, Communication, Music Business, or related field is preferred not required.
• Entertainment Industry (Music, Record Label, Media, Art, Fashion, Sports) experience is preferred.
• Minimum 1 year of prior administrative/coordinator level support experience working for Senior Executives.
• You are Bilingual in English and Spanish with strong verbal and written communication skills.
• You are proficient with MS Suite (Outlook, Teams, Excel, PowerPoint) and Keynote. Tableau or Marketing Cloud experience is a plus.
• Flexible to work under pressure with renowned artists and high-profile clients.
• Positive, flexible attitude to problem-solve and excel in a rapidly changing and fast-paced environment.
• Extremely organized to manage time and priorities, set, and achieve goals, juggle multiple projects, and meet deadlines simultaneously.
• Strong social skills, cultural awareness, and emotional intelligence to build long-standing relationships with co-workers, senior management, artists, managers, attorneys, vendors, etc.
• High degree of professionalism when managing confidential information.
• Flexible to work overtime to attend in-person occasional day/evening events and showcases. (Content shoots, recording sessions, etc.)
• Able to work independently but be a team player.
• Flexible attitude and thrive in very paced changing environment.
• Strong relationship building skills, resulting in long standing relationships with co-workers, artists, managers, attorneys, vendors etc.
• Calm, confident, and flexible attitude and work well under pressure with high-profile clients.
• Professional, likable demeanor and are humble at heart.
• Flexible to work overtime to attend occasional evening showcases, as required.
