Sony Music Masterworks is seeking an Administrative Assistant to provide essential administrative support to three senior executives handling business development and business and legal affairs for both recorded music and live. The position is based in Sony Music's NYC headquarters, but the role is global in scope, requiring frequent contact with our colleagues in Los Angeles, the UK, Europe, Australia and Japan. This position offers a tremendous opportunity to learn, contribute and grow within a team-oriented environment.
We're looking for candidates with a passion for the entertainment business as a whole, but with particular interest in live events, theater, music, and technology. Meticulous organizational skills and the ability to pay close attention to detail are a must. Candidates must also have the proven ability to manage a variety of tasks in a fast-paced environment, excellent oral and written communication skills, and the ability to work both autonomously and collaboratively across departments in a proactive and professional manner.
What you'll do:
• General administrative support to the Masterworks EVP, SVP Live Business Development and SVP Business and Legal Affairs in their day-to-day efforts, in close coordination with the Office Manager and Executive Assistant of the Masterworks division President. This will include:
• Managing calendars and scheduling meetings on behalf of the above executives;
• Booking travel, hotels and car service as needed; and
• Assisting with tracking, submitting and approving expense reports.
• Managing the core administrative needs of the Business and Legal Affairs department. This will include:
• Circulating contracts internally and externally for execution;
• Creating and maintaining workflows within Adobe Sign for purposes of securing deal memo approvals;
• Mailing hard copies of notices when required; and
• Ensuring fully executed contracts and any other important documents or correspondence are submitted to the records department and uploaded to the CARMA database.
• Working closely with the Masterworks EVP and SVP Live Business Development in creating and implementing strategies and tools to improve collaboration on marketing and promotional campaigns for its artists, projects and live events. This will require communication and coordination with the various departments within Masterworks, its international affiliated companies, and its live event partners around the world.
• Generating updates, reports, spreadsheets and presentations for key internal stakeholders and external partners as directed.
• Monitoring and maintaining database of live event dates
• Implementing updates and light maintenance of company website and socials, as required.
Who you are:
• Bachelor's degree or equivalent experience is required.
• 1 years of prior entertainment industry experience (including internships and extracurricular activities) highly encouraged, particularly in the areas of business and legal affairs, marketing, communications or business administration.
• Highly organized, analytical, detail-oriented with exceptional follow-up skills, capable of managing multiple priorities in a fast-paced, multi-priority global environment.
• Excellent written and oral communication skills.
• Skilled in Microsoft Office (Word, Excel, Outlook, and especially PowerPoint) and Adobe Sign.
• Proficiency in Adobe Creative Cloud (Photoshop, Premiere, Illustrator, inDesign) or equivalent supremely helpful, including light video and photo editing.
• Active engagement in music, theater, film, television, videogames and general pop culture a plus.
• Must be able to accept changes readily, both in job responsibilities as well as in the work environment
• Ability to multitask, solve problems and prioritize across multiple time zones.
• Excellent time management skills.
• Professional, confident, positive and calm demeanor.
• A team player, who is both ambitious and able to take initiative and see projects through independently
• Able to communicate effectively with internal staff, artists/creatives, managers/agents, and external contacts.

Salary/Benefits
$45,000.00
- 50,000.00
per year
The anticipated annual base salary does not include any other compensation components or other benefits that an individual may be eligible for. The actual base salary offered depends on a variety of factors, which may include as applicable, the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job.

$45,000 - $50,000 USD
