Job Summary:
The Coordinator, BA Admin provides administrative support to the SVP of Business Affairs Administration and assists with daily department operations. This role includes scheduling, organizing legal documents, processing financial reports, and coordinating meetings.
Responsibilities:
• Manage the SVP's calendar, including scheduling meetings and travel arrangements
• Prepare meeting materials, agendas, and presentations for the SVP and department meetings
• Process and track expense reports, invoices, and other financial documents
• Maintain and organize departmental files, databases, and records for easy access
• Assist in the preparation, review, and management of contracts, agreements, and other legal documents
• Coordinate department meetings, including scheduling, taking minutes, and following up on action items
• Provide logistical support for department events, trainings, and presentations
• Monitor office supplies and coordinate with vendors for orders and replenishment
• Act as a point of contact between the SVP, other departments (Legal, A&R, Finance), and external stakeholders
• Assist with special projects and initiatives as assigned by the SVP
Qualifications:
• Bachelor’s degree in business administration or a related field
• Minimum 2 years of administrative or assistant experience, preferably in the music or entertainment industry
• Strong organizational skills with the ability to manage time and prioritize tasks effectively
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
• Ability to handle sensitive and confidential information with discretion
• Detail-oriented and capable of managing multiple tasks simultaneously
• Excellent written and verbal communication skills
