Job Title: Coordinator, Intellectual Property Licensing

Job Summary:
The Coordinator, Intellectual Property Licensing plays a key role in supporting the administrative and project needs of the IP Licensing Department. Responsibilities include clearance, licensing, royalty management, and collaborating with internal teams and external stakeholders to ensure smooth operations across various products.
Responsibilities:
• Monitor internal label product release schedules and initiate clearance work as needed
• Gather product information such as label copy and video cue sheets
• Verify songwriter and publisher ownership splits for songs
• Manage writer administration changes by coordinating with publishers
• Research and confirm writer credits for assigned projects
• Provide project clearance and licensing status updates to team leads and analysts
• Maintain royalty accounts, set up new accounts, collect W-9 forms, and work with accounts payable
• Update payment statuses for songwriters, publishers, and products
• Calculate basic copyright royalty rates and assist with video broadcast and synchronization rights clearance
• Support the negotiation process for reduced copyright royalty rates
• Process copyright licenses for physical, digital, and mobile products
• Monitor and maintain bulk licensing processes
• Respond to publisher inquiries regarding ownership splits and licensing status
• Register new recordings and products with the US Copyright Office
• Assist with special projects as needed
Qualifications:
• Minimum 1 year of experience in copyright administration
• Proficiency in Microsoft Word and Excel
• Excellent communication and organizational skills
• Ability to manage multiple tasks simultaneously and work well under pressure
• A general understanding of the music industry
Salary: $52,000 USD annually
