This is a Full Time Job
The Department Coordinator, IP Licensing provides essential administrative support to the SVP and assists with the daily operations of the Intellectual Property Licensing department. This role requires strong organizational skills, attention to detail, and the ability to manage a variety of tasks in a fast-paced environment. The coordinator will ensure efficient workflow within the department and support key functions with a proactive and professional approach.
What you'll do:
• Manage the SVP's calendar, including scheduling meetings, appointments, and coordinating travel arrangements.
• Prepare meeting materials, agendas, and presentations for the SVP and departmental meetings.
• Process and track expense reports, invoices, and other financial documents.
• Maintain and organize departmental files, databases, and records, ensuring easy access and retrieval.
• Coordinate & support Dept licensing and registrations processes as needed.
• Support the coordination of department meetings, including scheduling, taking minutes, and following up on action items.
• Provide logistical support for department events, trainings, and presentations.
• Serve as a point of contact between the SVP, other departments (BA Admin, A&R, Finance), and external stakeholders.
• Help coordinate key logistical matters such as procurement of hardware & supplies, maintenance of system rights, and the onboarding of new hires.
• Assist with special research projects and initiatives as assigned by the SVP.
Who you are:
• Bachelor’s degree in business administration or a related field.
• Minimum of 2 years of experience in an administrative or assistant role, preferably within the music or entertainment industry.
• Strong organizational skills & detail-oriented with the ability to prioritize complex tasks and manage time effectively.
• Excellent written and verbal communication skills.
• Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general comfort with database systems.
• Ability to handle sensitive and confidential information with discretion.
• Positive attitude and willingness to take on new challenges as needed.
