Job Description:
The Administrative Assistant will provide support to three top-level executives: the Head of Emerging Business, Latin America, the Head of Data Analytics & Business Insights, and the VP of Distribution. The role involves managing calendars, coordinating travel, processing expense reports, and handling various administrative tasks to keep the department running smoothly.
Key Responsibilities:
• Travel Arrangements (20%): Arrange domestic and international travel, booking flights, lodging, and transportation, and prepare business information packets for executives.
• Calendar Management (33%): Maintain complex calendars, adjusting for any changes.
• Accounts Payable (13%): Process POs for Distribution, Networks, and Research, track orders, and ensure services are delivered.
• Expense Reports (10%): Create and track expense reports via Concur Solutions, ensuring compliance with company policies.
• Approvals (5%): Track executive approvals for travel, payments, and expenses.
• Conference Calls/Meetings (5%): Coordinate conference and video calls, manage meeting room reservations, and prepare meeting agendas.
• Translations and Presentations (2%): Translate documents between English and Spanish, and prepare PowerPoint presentations.
• Special Events (2%): Assist with special events, conventions, and projects such as meetings and team-building activities.
• Supplies and IT Needs (2%): Order supplies via Ariba, and coordinate with IT to ensure all equipment is functioning properly.
• Inter-company Communication (2%): Liaise with assistants across divisions to address issues and arrange meetings.
