(S) Conference Administrator, Film & TV
Job Purpose
The Conference Administrator for the Film & TV tracks at the SXSW Conference oversees planning, scheduling, and detail-oriented tasks for 40 Conference Sessions and 100 Mentor sessions.
Duties & Responsibilities
Responsibilities include but are not limited to:
• The point of contact for the track-level and mentor sessions includes general e-mail updates, answering questions from speakers/organizers, communicating about scheduling, providing on-site information, and more.
• Participate in and report during weekly Film & TV Conference programming meetings and Conference track lead meetings.
• Manage speaker agreement edits needed for Film & TV track-level sessions and Mentor Sessions.
• Interface with other SXSW departments on logistics such as room set-ups, a/v, signage, and more
• Support Keynote and Featured Session coordination as well as Film Festival coordination if needed
• Post-event analysis
On-Site Responsibilities
• Handle on-site coordination of track-level sessions and mentor sessions.
• Interface with volunteers to make sure there is a positive and streamlined experience for the speakers
• Includes sessions starting on time, right A/V, stage set up, as well as escorting speakers from the green room to their conference room, among other tasks
• Gather accurate attendance data.
• Support on-site coordination of Keynote and Featured Sessions
• Support Film & TV Fest and other Conference Tracks when needed.
Qualifications & Skills
Qualities include:
• High level of organizational and project management skills
• Comfortable in a fast-paced work environment where multitasking is essential
• Excellent communication skills, both written and verbal
• Need to communicate well internally and work well in a collaborative environment.
• Comfortable communicating with external parties, including VIP-level talent teams
• Knowledge of Google Drive Suite, Airtable, Keynote/PowerPoint, and FileMaker is a plus but not required.
• Working knowledge of the Film & TV Industry is a plus.
• Public speaking experience is a plus.
Physical Requirements
Frequently required to sit or stand for long periods, with or without accommodation. Manual dexterity is required for keyboard, computer, and office equipment use. Occasional lifting of up to 20 pounds. This position may require you to stay 10-14 consecutive days away from home during the event.
Work Location & Schedule
The position is located in Austin, Texas. Core business office hours are from 10 am-6 pm Monday through Friday. However, from January through March, you must be available to work additional hours, including evenings and weekends.
