(S) Seasonal Film & TV Programming Admin
Job Purpose
The Film & TV Programming Admin will work directly with the VP of Film & TV and the Programming team. The job will involve organizing, planning, scheduling, and maintaining detail-oriented administrative tasks related to the execution of the 2025 Film & TV Program.
Duties & Responsibilities
Responsibilities include, but are not limited to:
• Assist in coordinating schedules to set industry, filmmaker, and travel meetings for the Film & TV Programming team.
• Building and maintaining Intro and Q&A database and documents
• Scheduling and oversight of Alumni Intro and Q&A Crew for festival screenings, including invitations and confirmation, and answering questions via email.
• Proof Film & TV Festival materials for the website, app, and print.
• Coordinate the creation and delivery of printed materials.
• Participate in weekly Film & TV Programming Meetings and Film & TV Conference and log detailed notes and action items.
• Post-event analysis.
On-Site Responsibilities:
• Event on-site troubleshooting and admin work as needed
• Handle on-site coordination of Intro and Q&A Crew
• Support Film & TV Fest Programmers as needed
• Scheduling and oversight of filmmaker dinners during the festival.
Qualifications & Skills
Qualifications include:
• High level of organizational and project management skills.
• Exceptional accuracy with times, numbers, and details.
• Comfortable in a fast-paced work environment and with multi-tasking time-sensitive projects.
• Must be a quick learner who takes initiative and ownership of assigned projects.
• Excellent communication skills, both written and verbal.
• Ability to communicate well internally and work well in a collaborative environment.
• Communicate comfortably with external parties, including VIP-level talent teams.
• Knowledge of MacOS, Google Drive Suite, Airtable, Keynote/PowerPoint, and FileMaker is a plus but not required.
• Working knowledge of the Film & TV Industry is a plus.
• Public speaking experience is a plus.
Physical Requirements
It is frequently required to stand or sit for long periods and travel from venue to venue multiple miles a day during the event. Schedules may vary during the on-site operational period. Keyboard and computer use. Occasional lifting of up to 20 pounds. This position may require you to stay ten days away from home during the event.
Work Location & Schedule:
This seasonal Hybrid/Remote position is in Austin, Texas. The Programming Admin's work will begin in October. Core business office hours are Mon-Fri, 10 am – 6 pm. Must be available to work additional hours from January to March, including evenings and weekends, particularly as the festival approaches.
