Festival Coordinator, Utah Office
POSITION OVERVIEW
The Festival Coordinator, Utah Office is charged with coordinating our Park City, UT office coverage, processes, and functions. Additionally, this role will provide administrative and project support to the Office Administration team.
Working closely under the direction of the Manager, Office Administration this position will act as an efficient representative of and first point of contact for the Sundance Institute.
This seasonal position works full time from Wednesday, September 6, 2023 through Friday, March 1, 2024 and will be required to work extended hours, including some evenings, weekends, and holidays to meet key deadlines and respond to on-call needs as assigned. This position is based out of our Park City, UT office location in order to work onsite throughout its employment.
Top priorities include, but are not limited to...
• Welcoming, greeting, and assisting all visitors to the Utah office (customers, clients, vendors, employees, and other guests), and directing them to the appropriate department, location, venue, or employee.
• Answering or routing all incoming calls to the appropriate department or employee.
• Supporting health and safety initiatives by distributing and restocking a supply of masks, COVID-19 antigen tests, and hand sanitizer for staff during the Festival season.
• Maintaining, updating, and organizing shared drives and folders related to the Office Administration team.
• Maintaining and organizing the office environment by keeping the reception area, kitchen, office supply room, mail room, restrooms, and conference rooms stocked, neat, clean, and inviting throughout the day.
• Coordinating office-wide processes and needs, including ordering office supplies, assisting in staff travel support, parking, recycling, storage, structural or system repairs, etc.
• Assisting with the scheduling of group meetings in collaborative working spaces.
• Managing the Park City office reception and general Institute email addresses, including responding to patron and vendor questions.
• Assisting staff with preparing, retrieving, notifying, and tracking FedEx and USPS (regular and bulk mailings), as well as retrieving P.O. Box mail regularly.
• Maintaining organized onsite storage rooms to include cross-departmental collaboration, security measures, and consistent reviews and updates to active inventory lists.
• Maintaining the office's security system and keycard account to include activating/deactivating keycards, permitting people into the office space, and facilitating the repair of the system as needed.
• Serving as the central point of contact for building management, maintenance and office-related issues.
• Supporting the Manager, Office Administration in maintaining and balancing the Utah office's operating budget on a monthly basis.
• Assisting in the planning and coordinating office-wide events and activities, including office parties and other gatherings and functions.
• Partnering with teams across the Institute to implement and facilitate employee engagement, appreciation, and recognition programs.
• Staying up-to-date on general Institute information, programs, submission timelines, deadlines, and application details.
• Supporting departments on the implementation of Festival specific tasks from shipping needs, parking passes, credentials and check-in processes, customer service support, and more.
• Supporting the Office Administration team with Park City staff placement within the Utah office during the Festival season.
• Assisting with off-site Festival events as needed including coordinating vans, crowds, venue tables, and wellness initiatives.
You have the following direct or transferable skill sets:
• Legal authorization to work in the United States.
• 2 years of administrative experience.
• Strong attention to detail and accuracy in recording, tracking, and issuing information.
• Outstanding communication and interpersonal skills in order to work effectively with a wide variety of people.
• Strong customer skills.
• Proficiency in Google Products, Sheets and Word.
• Excellent organizational skills.
• Ability to maintain confidential information.
