POSITION OVERVIEW
The Manager, Festival Artist Relations is charged with facilitating the departmental administration, operations, and strategy specific to artist and guest relations for the annual Sundance Film Festival, satellite festivals, and other public programming.
Working under the Director, Festival Artist Relations, the Manager focuses on Sundance Institute's commitment to supporting artists including; filmmakers, jurors, creative teams, panelists, new frontier artists, talent forum fellows, and other special guests.
This position is based in our Park City, UT office with regular opportunities for remote work. This position will be required to work extended hours, including evenings, weekends, and holidays at key points throughout the year. This position will also be required to travel and be lodged during Institute events (locations vary) for approximately two to four weeks during the year. Occasional travel to other Institute offices will also be required.
Top priorities include but are not limited to…
• With the Director, managing the department by creating and annually updating strategy, operational, and logistical plans to ensure all invited Sundance Film Festival artists, including; filmmakers, jurors, creative teams, panelists, new frontier artists, talent forum fellows, special guests, and other Festival guests as directed, are provided a high level Festival experience.
• Designing and implementing a communication plan and artist benefit structure, within a defined budget.
• Developing and managing department and interdepartmental timelines and procedures to ensure administrative, operational, and strategic goals and deadlines are met.
• Managing seasonal employees and volunteers, including hiring and training, providing direction, feedback, and support to ensure employees and volunteers are effective in their roles, including conducting performance assessments.
• Developing and administering comprehensive training for employees and volunteers across the Institute on systems and procedures related to Artist Relations' collaboration with multiple departments.
• Researching, developing, dispatching, and engaging tools for departmental use; Docusign, Mail and Document Merge programs, Festival interdepartmental tracking sheets; creating and updating procedure documents.
• Creating, writing, and proofreading departmental correspondences and public-facing Festival materials.
• Supporting the Director with the annual departmental budget, including monthly tracking, processing invoices, honorariums, and reimbursements.
• Ensuring departmental compliance with all Institute policies, standards, and procedures.
• Ensuring all departmental and logistical needs and duties are met and clearly communicated.
• Managing and supporting Artist Relations activations and operations; online and in-person; at theaters, events, and venues including supporting Institute satellite Festivals as needed.
• Acting as the representative for all Post Acceptance Form (PAF)/Content Management System (CMS) internal users for yearly updating, which includes partnering in discussions, compromises, and innovations between different constituents, collaborating in the development and design of new products; accepting and signing off on completed Festival Platform work related to project plans.
• Working directly with Technology Services to develop and update, launch, and ensure the functionality of the PAF/CMS, Artist Relations Website, Festival Program Guide (FPG), and others.
• Serving as a member of the Festival Operations team, participating in discussions for strategic planning to convey departmental updates and receive and share important information with the Artist Relations team.
• Managing vendor relationships to maintain positive year-round working relationships, efficient communication, adherence to procedures, and so on.
• Managing the in-person Artist Relations office during the Festival, including serving as the main point of contact for internal departments, ensuring coverage, managing requests and the onsite box office, troubleshooting, providing guest customer support and overseeing functionality, setup and teardown.
• Managing and monitoring the Artist Relations fleet and interpreter service vendors and ensuring timely and accurate communication on the day to day operations.
• Serving as a member of the Utah Community Local Lens Program team, collaborating to strategize and plan for the program, including securing filmmaker/artist participation, facilitating artist communications, travel and logistics.
• With the Director, annually writing applicable wrap reports and attending all applicable wrap meetings and ensuring department employees and volunteers provide necessary wrap documentation.
You have the following direct or transferable skill-sets:
• Legal authorization to work in the U.S.
• 3 years of experience in managing and facilitating artist or guest relations, or related.
• Strong leadership skills with a background that includes demonstrated experience in managing employees.
• Excellent interpersonal, written, and verbal communication skills to interact effectively with a wide variety of people, building strong relationships to influence others.
• Ability to maintain confidential information.
• Strong problem solving skills and conflict management skills to navigate complex situations and make informed decisions.
• Experience managing multi-collaborative operations and special projects for a large event or multi-facility.
• Writing, proofreading, and communication design experience.
• Project management experience.
• Ability to collaborate effectively and affect change by applying best practices.
• Experience with contract negotiation preferred.
