This position supports a Vice President and two Directors on the Enterprise DEI team. You would be a part of fast-paced Diversity, Equity & Inclusion team that serves as a center of excellence for the enterprise, leading the development of DEI strategies, partnering with leadership across lines of business and global markets, providing subject matter expertise on relevant inclusion practices, and enhancing our inclusion brand both inside and outside the company. The Enterprise DEI team partners with all Disney businesses to create a culture of belonging for everyone. The team partners across the business and HR on developing inclusive and equitable processes, practices, and experiences, driven by data and insights.
What You Will Do
You would be responsible for the day-to-day workings of these leaders. It goes without saying that there will be expense reports, travel planning, hundreds of messages, and endless calendar jockeying, but this job is very much about people and supporting the culture. In addition to understanding your leaders' business needs inside and out, you'll need deep knowledge of the workings across the Disney enterprise. As the ''face'' of your executive within the company your professionalism, judgement calls, discretion and attitude are a reflection of the team, and as such, are a key component to its success.
Every day in this role is different! On any given day you might:
• Protect the Executives' time through strategic and proactive calendar management and vetting a variety of meeting requests
• Schedule conference rooms, meetings, and video chats
• Manage Travel & Entertainment expenses for your team
• Book Travel for your leader and/or team and build travel itineraries
• Proactively resolve problems and pitch in to help
• Coordinate onboarding/offboarding of team members
• Process and track payments to vendors using SAP
• Track team time off using Labor Reports in SAP
• Plan recognition and team events
• Order supplies and equipment along with other office management duties
• Manage project tracking and follow-up
• Prepare reports to be shared with leaders and stakeholders
• Compose correspondence on behalf of leader
• Schedule and host video meetings which could include presentation sharing
• Manage highly confidential correspondence and information with utmost discretion
• Work closely with the executives on activities, projects, meetings, event planning and office logistics
• Plan large, high-profile events like summits, off-sites and team-building activities
• Ensure the executive is prepared for meetings and events
• Coordinate office space
Required Qualifications & Skills
• A minimum two years of experience supporting business executives in large organizations in an administrative role
• Strong proficiency with standard office tools such as Microsoft Outlook, Word, PowerPoint, Excel
• Generally tech savvy and willing to learn new skills
• Professional and highly discreet while maintaining absolute confidentiality
• Effective communication skills, including diplomatic and professional handling of telephone and email communications
• Ability to be proactive, resourceful, flexible, and responsible
• Ability to take initiative and anticipate needs
• Extremely well organized and attentive to detail
Preferred Qualifications
• Prior experience supporting at the VP level
• Experience working in a large publicly traded company
• Ability to build a trusted network with counterparts across the company
• Previous experience at The Walt Disney Company
Preferred Education
• Some College coursework completed
Hiring Range
The hiring range for this position in Burbank, California is $63,400.00 to $85,000.00 per year based on a 40-hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
