Description:
The Executive Assistant provides comprehensive administrative support to an executive, working closely with the administrative team to manage the executive's schedule, priorities, and projects. This role requires meticulous organization, attention to detail, and the ability to handle complex tasks, including calendar and travel management, in a fast-paced environment.
Key Responsibilities:
• Manage the executive’s calendar, coordinating meetings, scheduling, and tracking outstanding tasks.
• Collaborate with other EAs to align schedules and priorities with business goals.
• Organize complex travel arrangements, including domestic and international itineraries.
• Handle phone communications, correspondence, and maintain contact sheets.
• Adjust schedules to align with short- and long-term business objectives.
• Take notes, track, and follow up on actionable items from meetings to ensure completion.
• Assist in event planning, logistics, and provide support to other EAs when needed.
• Prepare presentation materials and manage IT setup for meetings.
• Ensure all necessary logistics and materials are available for events and travel.
• Build and maintain relationships with internal and external partners.
Qualifications:
• Minimum 2 years of administrative experience in a corporate or entertainment setting.
• Ability to handle sensitive and high-pressure situations with professionalism and discretion.
• Highly organized, detail-oriented, and capable of managing high-volume calendars and travel logistics.
• Strong problem-solving skills, adaptability, and sound judgment.
• Excellent interpersonal skills, with a focus on teamwork.
• Proficiency in Microsoft Office and Apple software, especially Keynote and Excel.
• Availability to work onsite 5 days a week in Burbank, CA, with regular overtime and 24/7 access for urgent needs.
• Valid CA driver’s license, vehicle, and US passport for domestic and international travel.
Compensation:
$71,000 - $95,100 per year based on a 40-hour work week, with potential bonuses and long-term incentives as part of the full benefits package.
