A highly organized Executive Assistant is needed to provide comprehensive administrative support, partnering closely with the executive administrative team to manage scheduling, travel logistics, and executive priorities. This role requires exceptional attention to detail, the ability to handle complex calendars, and discretion when managing confidential information.
Responsibilities:
• Serve as the primary point of contact for managing the executive’s calendar, including meetings, scheduling, and tracking outstanding appointments
• Coordinate all domestic and international travel arrangements, including itineraries and logistics
• Manage phone communication, correspondence, and executive priorities
• Align executive schedules with business priorities, making real-time adjustments as needed
• Take notes, track and prioritize actionable items, and follow up on outstanding tasks
• Assist with event planning, logistics, and coordination
• Provide IT setup and meeting preparation for executive presentations
• Ensure all logistics and necessary materials are ready for events and travel
• Develop and maintain strong internal and external relationships
Qualifications:
• 2+ years of administrative experience in a corporate or entertainment setting
• Strong calendar management and travel coordination skills
• Exceptional organizational and multitasking abilities
