We are currently hiring for the position of:
COORDINATOR, GOVERNMENT RELATIONS
The Government Relations department builds and manages strong working relationships and partnerships with municipal, provincial and federal governments, international diplomatic missions, and other institutional partners. The Coordinator will be an important part of our enthusiastic, results-oriented team, providing exceptional stewardship to government partners.
As the Coordinator, Government Relations, you will play a pivotal role in supporting the Government Relations team by overseeing all administrative aspects for the department. Reporting to the Manager, Government Relations, you will be responsible for developing, managing, executing and maintaining administrative systems, processes and tasks that support the team’s mandate of building strong relationships with government stakeholders and revenue generation to support TIFF’s transformative programming. Your focus will be on driving excellence in departmental organization and ensuring the timely, accurate and compliant execution of all accounts, projects and initiatives, while providing client service, project management, and fundraising support for TIFF’s year-round and Festival programming.
RESPONSIBILITIES:
• Implements administrative systems to ensure department administration operates efficiently, and guides team by researching and developing administrative procedures, methods, and guidelines, and communicating needed developments to management
• Lead grant administration for the team by creating invoices and purchase orders, communicating and tracking project deliverables, and filing required project reports, to ensure compliance with funding agreements
• Manages all contracts across the department, and supports in the drafting, review, and sign off stages
• Maintain accurate records, ensuring CRM is up to date, related to contacts, funding history, and proposals in progress
• Coordinate festival benefits, tickets, and event invitations for government partners and supporters at TIFF’s various festivals and year-round programming
• Compose various pieces of TIFF correspondence for internal and external stakeholders
• Serve as a main point of contact for various government stakeholders via phone, email, and at meetings and events
• Support the research, development, and writing of funding requests and grant applications to secure government funding for TIFF initiatives
• Support the Director and Manager in maintaining strong relationships with international diplomatic missions in Canada
• Provide administrative and on-site support for government partners at TIFF events
• Participate in departmental meetings and record minutes to ensure open lines of communication within the organization
• Other administrative duties as needed
START DATE:
• May 5, 2025
JOB GRADE & SALARY:
• Job Grade 1
• Job Grade Salary Range: $45,000 to $53,000
WORK LOCATION:
• Office Location: 350 King Street West, Toronto, ON M5V 3X5
• Weekly in-office requirements:
• Minimum 2 days (November to May)
• Minimum 3 days (June to October)
• Festival Office Requirements: Full Time during Festival
MINIMUM REQUIREMENTS:
• Minimum 1 year of experience in administrative support roles, preferably in government relations or fundraising environment
• Superior communication skills, both verbal and written
• Excellent organizational skills, with superior attention to detail
• Flexibility to adapt to manage multiple priorities and deadlines
• Strong research skills, with an ability to retrieve, analyze, interpret and present information
• Grant writing experience is a strong asset
• Knowledge of municipal, provincial, and federal governments is a strong asset
• Ability to maintain a calm, professional demeanor and confidentiality while interacting with stakeholders in fast-paced situations
• Exceptional computer skills and strong proficiency using Microsoft Office and Google Workspace products; experience working in databases is an asset
• Adaptable to a flexible work schedule including some evenings and weekends
