We are currently hiring for the position of:
COORDINATOR, PEOPLE & CULTURE
Reporting to the Senior HR Manager, People & Culture. Assisting our People & Culture team with full-cycle recruitment, onboarding and offboarding, as well as other administrative duti es related to our annual Festival and Content Market.
RESPONSIBILITIES:
Shall include but not be limited to:
• Maintain careers and HR email accounts, calendar, critical path, and dashboard.
• Coordinate and support recruitment efforts for Content Market in close collaboration with HR.
• Maintain open channels for employee/ candidate inquiries for the department, ensuring timely responses and escalation where needed.
• Support administration by ensuring accurate employee information, records and documentation and contract updates.
• Provide operational support to department programs and management as required (e.g., Onboarding, Offboarding, Meetings, Events)
• Administrator for HR/software systems (HRIS), ensuring the integrity of systems through ongoing maintenance and regular data audits.
• Provide support for training logistics, including registering staff participants, booking rooms, coordinating materials, and ensuring all event requirements are met.
• Support the delivery of department Festival and Content Market goals, including but not limited to onboarding and offboarding.
• Assist P&C team in ensuring staff pass printing and acting as one of the department points of contact.
• Primary point of contact for employee digital and physical files.
• Engages in continuous improvement/projects to optimise work processes and programs.
• Keep abreast of HR best practices and legislative requirements.
• Maintain our record retention system and create and maintain digital employee files.
• Posting Jobs on various job sites (e.g., LinkedIn, indeed, TIFF Career Portal, Pink Jobs, CEE Jobs, Miziwe Biik).
• Coordinate recruitment activities including scheduling phone screenings, interviews and reference checks to support the hiring process.
• Help facilitate job fairs & Festival and Content Market orientation.
• Draft offer letters and contracts for new hires
• Supporting with other HR initiatives and programs
• Assisting P&C team with tasks as needed.
JOB GRADE & SALARY:
• Job Grade 1
• Rate of pay: $22/hr
TARGET CONTRACT DATES:
• April 14, 2025 - September 30, 2025
WORK LOCATION:
• Office Location: 350 King Street West, Toronto, ON M5V 3X5
• Weekly in-office requirements:
• Minimum 2 days (November to May)
• Minimum 3 days (May to October)
• Festival Office Requirements: Full Time during Festival
MINIMUM REQUIREMENTS:
• 2-3 years of experience in HR, including full-cycle recruitment. This may include experience gained through Co-op programs, internships, seasonal or Part-Time Contracts.
• Adaptable to a flexible work schedule including some evenings and weekends
• This position requires being in office on a regular basis.
WORKING CONDITIONS & PHYSICAL REQUIREMENTS:
• Hours and setting: generally, 9am-5pm, Monday thru Friday, some flexibility during Festival, primarily work at workstation, regular interruptions
• Environmental hazards: distractions/multiple demands
• Physical hazards: minimal
• Travel: rare, to job fairs, professional development opportunities
• Time pressure: provides service to staff and department, requiring the ability to meet many simultaneous deadlines in a fast paced and changing environment.
