Receptionist/Vault Assistant – Hollywood, CA
Responsibilities:
• Greet employees, clients, vendors, and guests, ensuring a welcoming environment.
• Manage guest arrivals, check-ins, and security protocols.
• Handle incoming calls and direct inquiries professionally.
• Maintain an organized and inviting front office space.
• Receive, sort, and distribute mail and deliveries.
• Schedule FedEx and local courier services.
• Update staff contact lists, manuals, and databases.
• Arrange meal orders for leadership, special clients, and onsite teams.
• Assist in planning and setting up staff events.
• Track and manage assets using Filemaker software.
• Facilitate data transfers to internal servers.
• Provide support for post-production teams as needed.
Requirements:
• Experience: 1 year in an office/front desk role.
• Technical Skills: Proficiency in Microsoft Outlook, Teams, Word, and Excel.
• Soft Skills: Strong communication, multitasking, and problem-solving abilities; ability to maintain confidentiality.
• Education: Bachelor’s degree in a related field (preferred).
